Patient Services Assistant

Summary The Patient Services Assistant in the Alpena Pain Clinic is the initial point of contact for all customers entering the facility and therefore requires exceptional customer service skills. The role includes assisting the clinical staff with transporting/lifting patients, billing, scheduling, filing, word processing, document production, registration, and other general duties as requested.
Responsibilities

Performs patient registration responsibilities, including insurance verification, pre‑certification, and obtaining necessary signatures and authorizations for billing and release of medical information. Obtains signed Advance Beneficiary Notice of Noncoverage (ABN) when services are not covered prior to treatment.

Maintains the daily schedule for the Pain Clinic/Coumadin Clinic by coordinating with nursing staff, considering staff needs and availability, patient acuity, physician orders, and consulting with other departments and institutions as required. Independently contacts patients for appointments and provides consistent, high‑level customer service in person and by phone.

Performs all office operations including filing charts, typing and clerical duties, and obtaining/transferring patient information data.
Acts independently, exercising discretion and judgment in performing work that is predominantly intellectual and varied.
Assists in compiling and releasing data for statistical reports; monitors incomplete records according to Medical Staff bylaws and the Medical Center's records policies.
Completes charge posting for patient encounters and assists in the auditing process with staff.
Participates in performance improvement activities and maintains compliance with State and Joint Commission requirements regarding radiation safety and patient protection.
Attends scheduled in‑services to review policy, procedure, and safety measures.
Effectively operates a computer using MS Office applications such as Word, Excel, and Adobe.
Performs other duties as assigned.
Certifications and Licensures
BLS: Basic Life Support
Essential Qualifications
Education:
High School Diploma or GED
Equivalent Experience:
Within 6 months of hire or transfer
Basic knowledge of medical terminology
as obtained through a formal course or one year’s experience in a health care setting.
General clerical skills and ability to operate standard office equipment, including computer knowledge of MS Office, Excel, Word, Adobe, etc.
Effective communication skills in person and on the telephone.
Understanding that this outpatient care setting and the role of Patient Services Specialist are patient‑centric.
Ability to adapt and adjust to a fluid, changing environment and maintain a flexible attitude to meet daily patient needs.
Competency in Microsoft Windows; employees may be required to participate in further learning opportunities offered by MyMichigan Health.
A minimum of six months’ experience in a health care facility is preferred.
Physical / Mental Requirements and Typical Working Conditions
Exposure to stressful situations, including public contact, trauma, grief, and death.
Ability to wear personal protective equipment that includes latex materials or appropriate substitutes.
Movement freely throughout the facility with or without an assisted device; must perform all job functions as outlined.
Overall vision and hearing necessary with or without assisted devices.
Frequently required to sit, stand, walk for long periods; may require frequent postural changes such as stooping, kneeling, or crouching.
Some exposure to blood‑borne pathogens and other infectious materials; must follow MyMichigan Health blood‑borne pathogen and TB testing requirements.
Ability to handle multiple tasks, work independently, maintain regular attendance, and remain alert.
Overall dexterity required, including handling, reaching, grasping, fingering, and feeling; may require repetitive movements.

Must occasionally (0–33% of the workday) lift or carry 11–20 lbs., frequently (34–66% of the workday) lift 10 lbs., and walk/stand/push/pull arm/leg controls.
