Job Summary The Client Care Coordinator is the first and last impression clients see when they visit the Practice. Serves as primary front desk administrator responsible for checking in, checking out, gathering pertinent client information, scheduling clients, accept payments, manage the Practice schedule along with answering phone calls and texts. The Client Care Coordinator supports the team in providing a consistent client experience. Demonstrates sensitivity to client’s needs and requirements and must always present professional decorum.

Key Responsibilities

Greet clients with VIP hospitality when they arrive and throughout the entirety of their visit

Guide client calls to effectively book consultations, schedule appointments and procedures

Responsible for client check-in, greeting each client in a pleasant and professional manner

Enters all new client demographic information into the computer

Checks out clients at conclusion of visit and reviews fee sheets to validate chargesEnsures clients understand their condition and treatment; provides any special instructions to clients upon leaving

Places telephone calls to no-show appointments; reschedules as needed

Champion Alle, Aspire and other vendor rewards and rebates

Answers telephone calls promptly

Answer questions and address any concerns

Make appointments on an as‑able basis.

Inspects MK Aesthetics for neatness and ensures it meets expectations

Responsible for Opening and Closing procedures of practice

Assists other Service Providers as needed

Backs up check‑out and other staff members as needed

Assists with tracking, monitoring, ordering, inventory levels

Packaging and shipping online orders

Assists with marketing and event efforts as needed

Contribute to our social media marketing strategy

Required Skills and Abilities

Excellent customer service skills with outstanding phone, written and verbal communication skills

Excellent sales skills with the ability to upsell by adding value for clients

Positive and upbeat personality

Professional and mature demeanor with presentable appearance

Well‑rounded and able to quickly learn practice operations, social media and other applicable duties.

Follow all verbal and written processes and procedures written by MK Aesthetics

Proficient with technology – e.g. M365, Canva, Social Media, etc.

Ability to set the tone for the practice with optimal professionalism and grace

A quick learner with problem‑solving and critical thinking skills - someone who takes the initiative to figure out what needs to be done through creativity and flexibility

Customer‑service oriented with ability to quickly establish rapport with clients

Has an aptitude for or ability to quickly master communication around aesthetic procedures

Superior organizational skills, follow‑through skills and attention to detail

Able to anticipate needs and think ahead

Ability to work as a team member

Able to manage multiple tasks simultaneously

Treats clients and co‑workers with respect

Familiarity with medical treatments, services, and products being sold MK Aesthetics

Maintain strict compliance with State, Federal, and other regulations including OSHA, State Medical Board, HIPAA, and other Human Resource Policies

Education and Experience

High school diploma or equivalent required.

One or more years’ experience at a medical spa office in a similar position preferred

Schedule and Availability

Full time schedule 36+ hours per week.

Flexible availability with mix of opening and closing shifts and some Saturdays required

Physical Requirements

Prolonged periods of sitting and/or standing.

Ability to lift 15 pounds.
