Job Summary Greets visitors in a pleasant and professional manner whether on the telephone or in person. Queries all visitors to accurately ascertain the nature of their visit and directs them to the correct office/person in an expeditious manner. Performs a variety of clerical support tasks. Work requires a sound knowledge and familiarity with the overall organization of the school system, the various offices, departments, their staff, functions and services at their location.
Essential Duties / Responsibilities
Politely greets and signs‑in visitors utilizing the computerized security system. Directs visitors to the appropriate office/department.
Answers questions of a general non‑technical nature for the Board of Education or Infant & Toddler Program.
Handles visitors/employees with kindness, respect, and expediency. Displays a pleasant and professional demeanor at all times.
Identifies situations in which the person may be upset and queries them in a helpful manner so as to attempt to diffuse the situation, while accurately ascertaining the nature of their visit and directing them to the appropriate office/staff.
Acts promptly and with good judgment under stressful situations.
Dispatches office passes and maintains appropriate logs/records.
Maintains the location telephone directory and makes changes/updates as they occur. Answers and transfers incoming calls to requested staff, departments, and/or schools.
Directs visitors to personnel applications and/or informational forms/literature to expedite their visit.
Performs clerical duties as necessary.
Provides regular backup assistance to other clerical office personnel.
Performs other related duties as assigned within the same classification or lower.
Minimum Qualifications Education
High School Diploma or Equivalency Certificate required.
Associate's Degree in related field of education from a regionally accredited college or university preferred.
Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.
Experience
Two (2) years recent receptionist work experience for a commercial business office and/or school complex that involved daily contact with the general public and outside business organizations required.
One (1) year experience with AACPS preferred.
Knowledge, Skills, Abilities and Other Characteristics
Ability to deal politely, professionally, and effectively with all visitors and fellow employees.
Ability to tactfully handle upset persons under stress diplomatically and in a calm and efficient manner.
Ability to remember names, locations, and functions of the various offices and personnel served by the Board of Education.
Ability to identify emergencies and to use good judgment in the prompt placing and receiving of telephone calls.
Ability to handle sensitive, and confidential employee information and an understanding of responsibility to ensure confidentiality and security of confidential information.
Demonstrated ability to effectively work and communicate with diverse populations.
Demonstrated proficiency with business technology applications (e.g. Video/Web Conferencing, Microsoft Office Suite ‑Word, Excel, Outlook, and/or PowerPoint preferred).
