The Assistant Logistics Manager supports the Logistics Manager in overseeing daily shipping, receiving, and outbound logistics operations at the Chapin Warehouse. This role is responsible for ensuring accuracy, efficiency, and compliance across all logistics workflows while providing leadership to Logistics warehouse personnel. The position requires strong technical skills in Excel and MS Office, advanced knowledge of shipping software (FedEx, UPS, Amazon), and the ability to perform under pressure in a fast‑paced, high‑volume environment.

The Assistant Logistics Manager acts as a key point of coordination between carriers, customers, internal teams, and warehouse staff, helping to maintain exceptional service levels, operational performance, and compliance with cGMP and FIFO requirements.

RESPONSIBILITIES Position Summary: The Assistant Logistics Manager supports daily warehouse, shipping, and receiving operations by ensuring accurate scheduling, compliance, and efficient material flow. This role provides leadership to logistics staff and coordinates with carriers and internal teams to maintain high service levels and on‑time performance.

Leadership & Operational Oversight

Lead, guide, and support logistics, warehouse, and shipping team members in daily operations.

Assist the Logistics Manager in workforce planning, workload delegation, and operational prioritization.

Monitor team performance, provide coaching, and enforce accountability and safety standards.

Serve as the point of contact when the Logistics Manager is unavailable.

Shipping, Documentation & Systems Management

Oversee the preparation, verification, and approval of all outbound shipping packets to ensure complete accuracy.

Manage pallet tagging, labeling, and tracking processes to maintain compliance and traceability.

Verify shipping documentation, driver paperwork, and load accuracy prior to departure.

Utilize FedEx, UPS, and Amazon shipping systems to process and track outbound shipments.

Use Excel and other MS Office tools to maintain logs, generate reports, analyze discrepancies, and manage scheduling of inbound and outbound materials.

Ensure packets are properly organized, scanned, and forwarded to the appropriate departments.

Maintain physical and digital records in an organized, audit‑ready manner, supporting strong documentation control and cGMP compliance.

Warehouse & Material Flow Coordination

Coordinate and schedule inbound and outbound loads, ensuring efficient unloading with minimal wait time for carriers.

Verify that the receiving team has proper documentation for inbound loads.

Oversee accurate finished‑good picking, staging, and loading of outbound materials.

Ensure materials are managed according to FIFO requirements.

Troubleshoot load discrepancies and ensure corrective actions are taken quickly.

Support and enforce efficient material‑flow processes to reduce downtime and increase throughput.

Communicate directly with drivers, carriers, internal team, and customers to ensure smooth logistics execution.

Respond promptly and professionally to inquiries, issues, or schedule changes.

Collaborate with internal departments (Finance, Operations, Customer Service, Inventory) to resolve challenges and optimize workflow efficiency.

Communication & Customer / Carrier Interaction

Communicate directly with drivers, carriers, internal team, and customers to ensure smooth logistics execution.

Respond promptly and professionally to inquiries, issues, or schedule changes.

Collaborate with internal departments (Finance, Operations, Customer Service, Inventory) to resolve challenges and optimize workflow efficiency.

Compliance, Safety & Continuous Improvement

Ensure compliance with internal policies, external regulations, cGMP standards, and shipping documentation requirements.

Maintain a clean, safe, and organized warehouse environment.

Identify inefficiencies in logistics processes and recommend improvements to accuracy, safety, and efficiency.

Uphold and promote all safety protocols for warehouse operations and material handling.

REQUIREMENTS

5‑7 years of experience in logistics, warehouse operations, or shipping/receiving; previous leadership experience preferred.

Strong proficiency in Microsoft Excel and the full MS Office Suite.

Hands‑on experience with FedEx, UPS, and Amazon shipping platforms.

Strong background in documentation control, including cGMP and audit‑ready practices.

Ability to obtain a Forklift certification.

PHYSICAL/MENTAL DEMANDS

Ability to lift up to 50 lbs. and operate forklifts or pallet jacks when needed.

Ability to stand, walk, and perform warehouse duties for extended periods.

Comfortable working in variable warehouse temperatures and occasional outdoor conditions, including inclement weather.
