Summary Provide administrative support to the Chief Nursing Officer of Nuvance Health Medical Practices and perform financial duties on behalf of NHMP Administration.
Responsibilities
Support NHMP Nursing Education and the Career Ladder program: manage class registrations for NHMP courses; update Career Ladder applications biannually and course applications as needed; process all Career Ladder applications submitted biannually by NHMP employees.
Provide administrative support to the NHMP Policies, Procedures & Forms Committee – create agendas and minutes; create/edit documents for committee review and e-vote; finalize documents for posting on electronic policy platforms; track policy expiration dates.
Liaise with Henry Schein (medical supplies vendor), pharmaceutical vendors, and Vizient (GPO), including rostering sites to ensure best contract pricing.
Maintain CLIA certificate/waivers for NHMP sites; manage ordering of Prescription Pads for use during electronic downtime; manage distribution of blood pressure monitors to practices for patient distribution.
Liaise with Clear Triage and Controlled Substance testing vendors.
Maintain several global lists in Outlook using monthly HR Census reports; determine headcount for the annual order of gifts for Nurses Week; coordinate with Practice Managers to distribute gifts to employees.
Process weekly Accounts Payable submissions, including pharmaceutical and other invoices on behalf of individual practices and consolidated invoices on behalf of the entire medical group – e.g., Night Nurse, Pitney Bowes, answering service, medical records storage, translation services, etc.
Create and send monthly invoices to Skilled Nursing Facilities (medical director services) and anesthesiology offices; log payments when received and submit to Finance to deposit.
Process one‑time travel reimbursements for physician candidates’ interview expenses when requested by Human Resources recruiters; process annual medical staff dues payable to 6 Nuvance hospitals.
Maintain and model Nuvance Health values.
Demonstrate regular, reliable and predictable attendance.
Perform other duties as required.
Requirements
Associate’s degree or equivalent experience.
7+ years of experience supporting an Executive Leadership role; strong written and verbal communication and organizational skills; maintain confidentiality.
Proficiency with MS Outlook, MS Word, MS Excel, MS PowerPoint; attention to detail and multitasking.
Salary Range: $23.64 - $45.92 per hour, based on relative experience.
