Administrative Assistant
Full‑time, on‑site, Atlanta, GA.

The Administrative Support Assistant provides comprehensive administrative, clerical, and program support to senior leaders and operational teams. This role is ideal for a highly organized professional who excels in managing competing priorities, coordinating information across teams, and supporting day‑to‑day operations through effective communication, documentation, and data management.
Key Responsibilities
Provide independent administrative and secretarial support to senior leadership, program offices, and designated staff with minimal supervision.
Serve as a liaison for office services and administrative procedures; respond to routine inquiries and route issues to appropriate personnel.
Screen and route telephone calls, emails, visitors, and correspondence; personally handle routine requests for information.
Coordinate and maintain calendars for senior staff; schedule meetings, conference calls, and events; send notifications and ensure participant preparedness.
Support meetings and briefings by preparing materials, recording and distributing minutes, and tracking follow‑up action items.
Coordinate travel logistics, including preparing draft travel authorizations and reviewing expense reports for accuracy prior to approval.
Draft, edit, format, copy, and distribute correspondence, reports, memoranda, spreadsheets, presentations, and other administrative documents.
Establish, maintain, and manage electronic and hard‑copy filing systems in accordance with records management requirements.
Collect, compile, validate, and analyze administrative, statistical, and program data from multiple sources.
Maintain automated tracking systems to monitor milestones, suspense items, workloads, progress reports, and recurring deliverables.
Prepare draft reports, summaries, and data products for leadership review.
Coordinate IT service requests and help desk tickets; follow up to ensure timely resolution.
Provide administrative timekeeping support, including data entry, verification, auditing, reporting, and coordination of system access, as authorized.
Assist with training and event coordination, including scheduling, logistics, materials preparation, and communication with participants.
Conduct independent research and retrieve information from automated systems to support program and leadership needs.
Support special projects and ad hoc administrative assignments as directed by management.
Provide back‑up administrative support for executive‑level staff as needed.
Education and Experience Education:
Associate or bachelor’s degree preferred; in lieu of a degree, a minimum of five (5) years of experience providing administrative or executive support to senior‑level leadership (equivalent to GS‑12/GS‑13).
Experience:
5 years of experience with the knowledge and skill of general office operations and procedures.
Skills and Qualifications
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with SharePoint, Visio, databases, timekeeping, and travel systems preferred.
Strong written and verbal communication skills with attention to detail, accuracy, and professionalism.
Ability to multitask, prioritize, coordinate varied administrative projects, and meet deadlines in a fast‑paced environment.
Strong problem‑solving skills, ability to conduct independent research, and capacity to handle sensitive information with discretion.
Must be a U.S. Citizen and must be able to obtain and maintain DHS public trust suitability through a DHS background investigation.
