Overview The Executive Assistant provides high-level administrative and strategic support to the Chief Financial Officer (CFO) and Chief People Officer (CPO). This role requires exceptional judgment, discretion, and the ability to manage complex priorities in a fast-paced corporate environment. The Executive Assistant will act as a trusted partner to senior leadership, anticipating needs, managing executive workflows, and ensuring seamless day-to-day operations. The ideal candidate is highly organized, proactive, detail-oriented, and experienced in supporting C-suite executives with professionalism and confidentiality.
Responsibilities
Provide direct, high-level Executive Assistant support to the CFO and CPO, serving as a primary point of contact for internal and external stakeholders
Manage heavy, complex, and frequently changing executive calendars, including scheduling meetings across multiple time zones
Coordinate and prepare materials for executive meetings, leadership reviews, Board-related meetings, and internal presentations
Handle all confidential and sensitive information with the highest level of discretion and professionalism
Arrange and manage all aspects of executive travel (air, hotel, ground transportation, itineraries) and process last-minute changes seamlessly
Prepare, submit, and reconcile executive expense reports accurately and in compliance with company policies
Draft, edit, and format presentations, reports, correspondence, and other executive-level documents
Act as a gatekeeper by prioritizing communications, screening requests, and ensuring efficient use of executive time
Support special projects and ad hoc initiatives requiring independent judgment, problem-solving, and follow-through
Coordinate logistics for executive meetings, including conference rooms, technology needs, and visitor access
Greet and host senior visitors, ownership groups, and external partners in a polished and professional manner
Partner closely with other Executive Assistants and leadership team members to ensure alignment and coverage
Maintain executive office organization and ensure a professional, well-prepared working environment
Qualifications
Minimum of 5 years of experience as an Executive Assistant supporting senior-level or C-suite executives
Demonstrated experience supporting multiple executives simultaneously in a fast-paced corporate environment
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Exceptional written and verbal communication skills with strong attention to detail
Proven ability to manage competing priorities, deadlines, and shifting demands with composure
High level of discretion, integrity, and sound judgment when handling confidential information
Strong organizational, time-management, and problem-solving skills
Professional presence with the ability to interact effectively with senior leaders, ownership, and external partners
Proactive, self-directed, and comfortable working independently with minimal oversight.
