Intelligent Executive Assistant to the Founder
High-Trust | Strategic | AI-Enabled Role
Location: Hybrid (some travel for events)
Role Type: Part-Time (potential for Full-Time if supporting Content & Social Media)
About the Role We’re partnering with a fast-growing B2B SaaS company operating at the intersection of enterprise systems and modern digital workflows. As the company scales, the Founder is seeking a high-capacity, intelligent Executive Assistant to act as a true operational partner.
This is not a traditional administrative role.
This is a strategic, high-trust position designed for someone who thrives on organizing complexity, protecting executive focus, and using AI tools to move faster and smarter.
You’ll function as the Founder’s command center—owning time, priorities, communication, and follow-through across the executive team.
What You’ll Do Calendar & Time Management
Own and optimize the Founder’s calendar with ruthless prioritization
Coordinate internal and external meetings, ensuring prep and follow-ups are captured
Build weekly agenda structures aligned to monthly and quarterly priorities
Communication Management
Triage and draft communications across email, Slack, and other channels
Maintain inbox hygiene, escalate what matters, and handle routine responses
Ensure the Founder is always briefed on what truly requires attention
Travel & Event Support
Manage complex domestic and international travel logistics
Prepare travel briefs including meetings, objectives, and key contacts
Support the Founder at select conferences and events (travel required)
Priority & Focus Management
Track quarterly, monthly, and weekly priorities tied to strategic OKRs
Act as a focus partner—protecting time and reducing distractions
Ensure execution stays aligned with company objectives
Weekly Executive Review
Prepare structured weekly reviews covering progress, risks, and upcoming priorities
Flag bottlenecks early and recommend schedule or priority adjustments
Executive Team Coordination
Follow up with senior leaders on initiatives, deadlines, and blockers
Capture status updates and surface decisions requiring Founder input
Maintain cross-functional alignment and accountability
Project & Process Management
Maintain dashboards for key initiatives and strategic workstreams
Proactively chase deliverables so nothing falls through the cracks
Improve workflows across Sales, Marketing, Product, Engineering, and Operations
Content, PR & Social Support (optional path to full-time)
Draft or refine executive presentations and thought leadership content
Support LinkedIn posts, blogs, PR pitches, and speaking materials
Turn raw ideas into polished, high-impact narratives
Strong PowerPoint and written communication skills required
AI-Enabled Productivity
Leverage tools such as ChatGPT, Notion, Zapier, Calendly, Slack automations, and similar platforms
Build automations for inbox triage, meeting notes, task routing, and dashboards
Continuously identify opportunities where AI can increase executive leverage
What We’re Looking For Required Experience
5+ years supporting Founders or C-level executives (SaaS/startup experience preferred)
Experience in fast-paced, high-growth environments
Exceptional written and verbal communication skills
High discretion with confidential information
Advanced proficiency with modern productivity tools
Strong understanding of AI tools and workflow automation
Ideal Profile
