Executive Personal Assistant (In-Person, Austin, TX) Flighty is a 6-year-old, profitable, category‑leading travel technology company. The Founder & CEO is seeking a world‑class Executive Personal Assistant to provide seamless, in‑person support across business operations, household management, and personal life logistics.

Executive & Professional Support

Calendar Ownership:

Design a highly intentional, priority‑driven schedule; protect focus time; sequence days for maximum productivity.

Inbox Management:

Triage emails, draft responses, create templates, and maintain exceptionally tight response times.

Travel Coordination:

Plan detailed travel itineraries and contingencies, ensuring the CEO is always prepared.

Meeting Prep & Follow‑Through:

Prepare pre‑reads, talking points, research summaries, and post‑meeting notes.

Company Operations:

Coordinate cross‑functional priorities, assist with team events, recruit, and manage light HR operations.

Document & Knowledge Management:

Maintain clean, well‑structured internal systems – Drive, Docs, Sheets, SOPs, workflow templates.

Light Content & Design:

Draft polished internal and external communications and prepare clean slide decks.

Project Management:

Run checklists across CEO initiatives, track deadlines, and monitor execution.

Support early operations for side projects, launches, or new initiatives.

Research deep‑dive topics quickly and present clear, concise options.

Light office errands like shipping, ordering furniture, and managing vendors.

Personal Lifestyle Support

Assist in healthy eating, habits, mental breaks, and overall wellness.

Coordinate medical, wellness, fitness, and personal appointments.

Manage personal bills, returns, mail handling, online accounts, and DMV travel documents.

Assist with travel planning for family trips and book concierge‑level logistics.

Light personal shopping, errands, wardrobe organization, and gift sourcing.

Plan small gatherings, dinners, celebrations, and home‑hosted events.

Household & Property Management

Oversee home vendors: cleaners, handyman, gardener, contractors, and home services.

Research new vendors for interior design, renovation, and appliances.

Coordinate maintenance schedules, repairs, inventory, and light organization.

Manage household accounts, bills, renewals, warranties, and subscriptions.

Maintain documentation and shared checklists across households.

Keep home environment guest‑ready and resolve issues proactively.

Family & Child Logistics

Family vacations in August; coordinate with nanny and keep CEO on schedule.

Occasional driving between locations and research activities, camps, tutors, or developmental programs as needed.

Vehicles & Errands

Oversee vehicle maintenance, buying, selling, servicing, inspections, registration, fueling, and detailing.

Run local errands: groceries, returns, event prep, pickups/drop‑offs around Austin.

Financial & Administrative

Manage monthly spending summary, coordinate accountant, and track receipts.

Maintain organized documentation for LLCs, trusts, insurance, and personal records.

Support light investment/asset coordination.

What Success Looks Like

The CEO’s time, focus, and energy are protected and maximized.

Home and office environments run smoothly with minimal input required.

Travel, calendars, inboxes, and operations remain proactive – not reactive.

Details are handled flawlessly; communication is clean, calm, and consistent.

The Executive Personal Assistant becomes a trusted partner operating with full ownership and judgment.

Must Have Qualifications

5+ years’ combined EA/PA experience

– direct support to a founder, C‑level executive, or HNW individual.

Experience at a startup, tech company, or within a founder’s life ecosystem.

Long tenure and demonstrated loyalty, trustworthiness, and stability.

High IQ + high EQ:

calm, intuitive, anticipatory, and tactful.

Extremely organized, detail‑driven, reliable, and solution‑oriented.

Self‑directed operator who thrives in an early‑stage or fast‑moving environment.

Exceptional communicator – clear, concise, direct, and professional.

Comfortable working in‑person, hands‑on, and providing lifestyle + family support.

Must have:

Driver’s license , ability to run local errands, and physical presence in Austin.

Required Technical proficiency:

Familiar with or interested in flying and basic flight tracking.

Google Workspace:

Meet, Docs, Sheets (advanced‑level skills preferred).

Apple devices, macOS, Apple Mail, Apple Calendar.

File & Knowledge Systems:

Dropbox, Google Drive.

AI:

Gemini or ChatGPT.

Travel Tools:

Google Flights.

In‑person role (non‑negotiable) in Tarrytown home (10%) + downtown office (90%).

Compensation: $120,000–$150,000 annual salary, depending on experience.
