Summary
The Private Client & Hospitality Associate supports the continued growth of the Colgin Cellars and Jubilation by Colgin Cellars private client programs and contributes to on-site hospitality experiences. This new role follows a regular weekly cadence, with approximately three days dedicated to Private Client responsibilities and two days focused on delivering refined, high-touch hospitality experiences. Essential Duties & Responsibilities
Private Client
Serve as a key point of contact for private clients, providing personalized service to new members and long-standing collectors. Acknowledge referrals and ensure gratitude is expressed consistently to individuals who introduce new clients to Colgin. Anticipate client needs by tracking key milestones, including anniversaries, first purchases, and other notable events. Maintain accurate records in Offset, documenting introductions, preferences, and relevant interactions. Provide support during Private Client offerings, assisting with access, allocation questions, and fulfillment details. Coordinate post-purchase logistics with Operations to ensure precision and timeliness. Coordinate shipments of wine and materials for events. Organize and track charitable donation requests, maintaining complete and accurate records. Support the management team with administrative activities and special projects as requested. Hospitality
Deliver a polished, high-touch experience for guests visiting Colgin Cellars, reflecting the estate’s standards of professionalism, warmth, and discretion. Conduct accurate and engaging vineyard walks and tastings, demonstrating a strong command of the estate’s history, viticulture, and winemaking philosophy. Prepare tasting spaces and materials to established standards, including setup and breakdown. Consistently represent the estate in a manner that reflects elegance, sophistication, and approachability. Enter visit details, guest information, and follow-up notes in Offset with complete accuracy. Assist with on-site event preparation, execution, and cleanup as needed. Adhere to attire, brand presentation standards, and guest-facing professionalism at all times. Support inventory accuracy related to hospitality activities. Requirements
Ability to work flexibly and collaboratively between two departments. 3-5 years of experience in private client service or luxury hospitality. Strong interest in fine wine with foundational wine knowledge; WSET Level 3 or equivalent preferred. Experience working in high-touch client environments. Ability to manage sensitive information with discretion and sound judgment. Clear, professional written and email communication skills. High attention to detail with consistent accuracy and follow-through. Proficiency in Microsoft Excel and comfort working within CRM systems. Strong organizational and time-management skills. Availability to work weekends and maintain a consistent full-time schedule, with flexibility to support client and event needs. Ability to lift and transport a case of wine. Work Environment
This position operates across both office-based and front-of-house hospitality environments and requires periods of sitting and standing, as well as occasional lifting. The role follows a set weekly schedule that includes weekend day(s), with flexibility to support scheduled visits, events, and Private Client needs. The Associate is expected to maintain a polished, professional demeanor and contribute to a positive, conscientious, and collaborative work environment. Consistent attention to discretion, accuracy, and presentation is required when representing Colgin Cellars and engaging with guests, clients, and internal teams.
