GENERAL DESCRIPTION
Serves as the first point of contact for the general public in the State Historic Preservation Office (SHPO). Performs a variety of administrative duties, including attending meetings and producing meeting minutes, preparing invoices, and submitting paperwork for payments. Responsible for managing social media outreach for SHPO, which includes ensuring consistent and appropriate messaging on a variety of social media platforms.

ESSENTIAL FUNCTIONS
Performs executive-level administrative and support duties.
Performs program and/or fiscal duties, including preparing vouchers and invoices for payment.
Ensures all travel requests, state vehicle requests, and employee leave requests are processed.
Prepares payment requests and payment vouchers through the WOLFS system.
Assists with overall SHPO office management, including communication and coordination between employees and outside agencies.
Serves as the first point of contact for members of the public and outside agencies.
Attends meetings for purposes of taking and producing minutes.
Organizes and maintains all office files.
Ensures phones are answered, and all requests for information are directed to the appropriate staff.
Provides logistical support for public events and educational programs.
Manages social media outreach for SHPO.
Coordinates with staff to develop and schedule the release of social media content.
Maintains passwords for social media accounts.
Coordinates with State Parks & Cultural Resources communications office to ensure that public messaging is consistent with SHPO goals.
Contributes to website content updates.
PREFERENCES Preference may be given to applicants with a customer service-oriented attitude, excellent verbal and written communication skills, a working knowledge of Microsoft Office and Google Drive, and a working knowledge of social media platforms.
KNOWLEDGE
Knowledge in applicable computer applications.
Knowledge of records processing and maintenance procedures and systems.
Knowledge in the preparation of complicated documents.
Knowledge and understanding of the agency and each respective division/program.
MINIMUM QUALIFICATIONS Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
Certificates, Licenses, Registrations:
None
PHYSICAL WORKING CONDITIONS
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Special physical demands are not required to perform the work.
