Primary Responsibilities
Answer incoming telephone inquiries from Hiossen customers, including dentists and other customer personnel, in a prompt and professional manner, ensuring excellent customer service.
Respond to incoming fax transmissions and emails; transmit fax communications under the direction of Hiossen Sales Management or their designees and provide product information to customers in response to telephone inquiries.
Coordinate and track stock and all items stored in the Branch warehouse and assist the Hiossen Sales team in maintaining warehouse and stock records and materials as assigned.
Process product orders daily in accordance with Hiossen policies and procedures, including pulling stock from the warehouse, scanning bar‑codes, and performing related order‑processing duties in support of the Sales team.
Register attendees at AIC seminars (Basic Implant Training); prepare documentation and arrange meals and refreshments in conjunction with seminars, product, and sales‑related promotional activities and learning seminars.
Handle product returns from Hiossen customers, including paperwork, record‑keeping, and reports, ensuring proper crediting to customer accounts in accordance with Hiossen procedures; process unused products.
Work collaboratively with the Hiossen Finance Department, Corporate departments, Branch, and Regional offices.
Maintain adequate product and technical knowledge of all Hiossen products and related procedures and policies.
Prepare and submit reports as directed by the Regional Sales Manager or Branch Manager.
Perform other related administrative duties as assigned or required.
Required Knowledge and Skills
Excellent customer service skills.
Basic knowledge of Hiossen products.
Proficiency in MS Office (Word, Excel & PowerPoint) and the Pipeline ERP system; knowledge of Hiossen bar‑code system and related tracking procedures.
Bilingual proficiency in English & Korean.
Education and Experience
High School Diploma.
At least two years of successful experience as an administrative assistant in a sales office environment.
Language Skills The ability to read, write, understand, and communicate clearly with employees and customers, both within and outside of Hiossen, in order to successfully and effectively complete assigned job responsibilities is required.
Quantitative / Mathematical Skills Requires the ability to read, interpret, prepare reports and other job‑related information, and communicate this information within the scope of the Administrative Assistant’s duties. Must possess sufficient aptitude to learn aspects of Hiossen products to accurately and effectively communicate information to Hiossen customers. Required to maintain product knowledge at all times.
Work Environment The Administrative Assistant works in an office‑based environment at a designated Branch location. Approximately twenty percent of their time is spent on a daily basis processing inventory and fulfilling product orders and returns stored in the warehouse.
Physical Demands Continuous use of a computer while seated; occasional lifting and carrying of objects weighing up to 25 pounds, including packing, re‑stocking, and carrying items.
