What You’ll Be Doing
Assist Project Managers in planning work schedules, determining manpower levels, and arranging project employee assignments
Coordinate project activities to ensure progress on schedule and within budget
Time reporting for field employees
Monthly progress billing to General Contractors
Assist with acquisition of materials and equipment
Compose correspondence and reports as needed
Advise and assist Project Managers with potential problems, work interferences, and scheduling difficulties
Check deadlines on incoming requests and prioritize appropriately
Process day-to-day administrative items (expense reports, supply requisitions, POS, HR transaction forms, budgets, etc.)
Prepare special reports per supervisor request
Other duties as assigned
What We’re Looking For
Associate’s Degree or minimum of 2 years of administrative experience
Proficiency in MS Office Suite
Ability to prioritize tasks according to deadlines and urgency
Interpersonal skills: confidentiality, openness to ideas, willingness to try new things
Oral communication: clear, persuasive speaking, group presentation, meeting facilitation
Written communication: editing for spelling and grammar, presenting numerical data, reading and interpreting written information
Quality control: accuracy, thoroughness, monitoring own work
Adaptability: manage changes, competing demands, frequent changes or delays
Dependability: consistently on time, follows instructions, responds to management direction, seeks feedback to improve performance
Bilingual Spanish speaking a plus
