Authorization Specialist / Surgery Scheduler
Under the direction of the Business Office Manager, the Authorization Specialist/Surgery Scheduler is responsible for daily maintenance of the surgery schedule and all aspects of the scheduling process. This includes strategizing, problem solving, and ensuring high levels of customer service with scheduling coordinators from all doctors’ offices and Operating Room Staff.
Successful candidate will possess outstanding leadership, communication, and customer service skills, including the ability to diffuse difficult scheduling conflicts efficiently. Demonstrated success in customer service encounters or programs is preferred.
Responsibilities
Set priorities and organize work.
Schedule patient procedures to ensure efficient and accurate processing of information, including procedures in the operating room, GI lab, and arrangements for 23‑hour stay.
Coordinate with anesthesia groups for coverage confirmation.
Accurately use procedure codes to ensure proper billing.
Verify information entered into the system is correct (e.g., spelling of name, DOB, gender, insurance information).
Ensure all necessary paperwork for any patient is received by appropriate staff.
Communicate schedule changes to appropriate staff.
Ensure all required fields in Advantx are completed.
Work closely with OR director to avoid equipment or supply conflicts.
Alert administration when new doctors or procedures are scheduled.
Cross‑train with other areas.
Complete consents and ensure accuracy before submitting to the chart builder.
Promote positive relationships with scheduling coordinators, physicians and nursing staff throughout the scheduling process.
Perform insurance verification.
Qualifications
Minimum 2‑4 years of hospital or medical office experience.
Professional verbal and non‑verbal communication skills.
Strong time‑management and ability to prepare work area to meet high‑paced demand.
Genuine desire to work and improve the hospital as a whole.
Professional appearance.
Strong medical terminology knowledge.
Excellent phone etiquette and exceptional customer service skills.
High School Diploma or Equivalent.
