Patient Service Representative - Full Time
Valley Health is seeking a Patient Service Representative to serve as the first point of contact for patients within the Valley Health physicians’ network. This pivotal role requires excellence in all patient and customer encounters, both face‑to‑face and telephone, while providing administrative support for ambulatory care teams.
Job Description The Patient Service Representative is responsible for accurate scheduling of patients for optimal care and provider efficiency, collecting demographic and financial information to ensure full and timely revenue capture, and maintaining a high‑quality patient experience.
Responsibilities Appointment Scheduling and Referral Functions: Listen to patient requests and schedule appointments following clinic guidelines, offer alternate providers or locations when appropriate, raise unmet needs to Office Coordinator or Practice Manager, send appointment reminders, use waitlists, cancel or reschedule per guidelines, process urgent and routine referral requests, obtain prior authorizations, and communicate appointment instructions.
Reception Functions: Greet and receive patients courteously, provide required documentation for new patients, report emergent situations or patient concerns, and keep patients informed of delays in care.
Registration Functions: Obtain all required information for outpatient registration, ensure accurate entry of demographic and financial details into the Epic system, and capture data for regulatory and compliance requirements.
Collection of Payments / Cash Handling: Inform patients of payment due based on insurance verification, accept cash, check, or credit card payments, receive and record all payments, and balance the cash drawer daily.
Telephone Functions: Answer phones within three rings using a standardized greeting, end calls courteously, and record clear, complete phone messages or prescription requests.
Health Information Management Functions: Date stamp and deliver incoming patient information to appropriate staff, prepare correspondence, send requests for medical record releases, handle same‑day requests, and manage incoming mail while maintaining confidentiality.
Cross Coverage / Office Support Functions: Cover other locations during staffing shortages, maintain office supplies and filing systems, and open or close the clinic according to guidelines.
Other Duties: Perform any additional duties as requested or directed.
Education High School Diploma or equivalent is required; an Associate’s degree is preferred.
Experience One year of relevant work experience is required; an Associate’s degree may substitute for one year of experience.
Qualifications Customer service experience is preferred. Strong computer, communication, and customer service skills are required. Ability to prioritize work, handle confidential information, and work with diverse individuals within and outside the organization is essential.
