Position Overview The Subcontract Compliance Coordinator is responsible for overseeing contract administration, ensuring compliance with insurance and legal requirements, and managing subcontractor documentation. This role plays a critical part in mitigating risk, maintaining regulatory standards, and supporting project success by ensuring proper contract oversight and subcontractor prequalification.
Key Responsibilities
Contract Administration Review, track, and manage owner contracts to ensure compliance with all contractual obligations. Maintain organized contract documentation and ensure timely execution of agreements. Coordinate contract amendments, renewals, and closeouts. Ensure timely renewal of term contracts before expiration.
Insurance & Risk Management Verify and track insurance coverage for all projects, ensuring compliance with contractual and legal standards. Maintain updated insurance certificates from subcontractors and vendors. Collaborate with leadership to address and mitigate risk‑related concerns.
Subcontractor Database Development Build and maintain a comprehensive database of prequalified subcontractors. Track subcontractor qualifications, certifications, and performance history. Support the prequalification process for new subcontractors to ensure compliance.
Compliance Oversight Monitor subcontractor compliance with contract terms, insurance requirements, and safety regulations. Issue subcontractor agreements and maintain up‑to‑date documentation. Conduct regular audits of subcontractor documentation and certifications. Communicate compliance issues to relevant stakeholders and assist in resolution. Work closely with project managers, accounting, and leadership to ensure seamless contract and compliance operations. Prepare reports on contract status, insurance compliance, and subcontractor performance. Identify and implement process improvements to enhance efficiency and risk management.
Knowledge, Skills and Abilities
Strong organizational skills and attention to detail.
Experience in contract administration, compliance, or risk management within the construction industry.
Strong understanding of contract terms, insurance requirements, and risk management principles.
Proficiency in contract management software and Microsoft Office Suite.
Excellent organizational, analytical, and communication skills.
Ability to work collaboratively with cross‑functional teams and external partners.
Qualifications
Associate degree and/or Bachelor’s degree in Business, Construction Management, or related field preferred.
Minimum of two years, preferably three or more, in contract administration, compliance, or risk management.
Experience in the construction industry strongly preferred.
Familiarity with insurance requirements, lien laws, and risk mitigation practices.
