Job Description: Legal Administrative Assistant – Rochester, MN
Job Summary
The Legal Administrative Assistant provides administrative and clerical support to attorneys and legal staff to ensure the efficient operation of the legal office. This role requires strong organizational skills, attention to detail, confidentiality, and familiarity with legal terminology, documents, and court procedures.
Key Responsibilities
Prepare, proofread, and format legal documents such as pleadings, motions, briefs, contracts, subpoenas, and correspondence
File legal documents with courts (electronically and/or in person) and ensure compliance with filing deadlines
Maintain and organize case files, both physical and electronic
Manage attorneys’ calendars, schedule meetings, court appearances, depositions, and client appointments
Coordinate communication with clients, courts, opposing counsel, and outside vendors
Answer phones, screen calls, and route messages professionally
Track deadlines, statutes of limitation, and court dates
Assist with trial preparation, including exhibits, witness lists, and binders
Open new matters, perform conflict checks, and assist with billing and time entry
Handle confidential and sensitive information with discretion
Required Qualifications
High school diploma
Proven experience as a legal secretary or administrative assistant in a legal setting
Knowledge of legal terminology, court procedures, and document formatting
Proficiency with Microsoft Office (Word, Outlook, Excel); experience with legal software a plus
Strong typing, proofreading, and organizational skills
Ability to manage multiple priorities and meet strict deadlines
Excellent written and verbal communication skills
Has to be able to easily commute to Rochester and work core hours of 8:30am – 5pm in the office
Preferred Qualifications:
Experience working in a law firm that specializes in workers’ compensation, personal injury, and miscellaneous litigation
Familiarity with e-filing systems and case management software
