In this position you will interview clients upon entrance to the Department of Health — Hernando programs to determine initial and continuing eligibility for service.
You will screen and schedule all client appointments for all medical health clinics, assist with preparing clients’ medical records for scheduled clinic visits, and electronically sign in clients, providing routing software and using patient‑management systems such as HMS and FLSHOTS.
Your Specific Responsibilities
Interview all clients upon entrance to determine eligibility for services.
Screen and schedule client appointments for all medical health clinics.
Assist in preparing clients’ medical records for scheduled visits.
Provide general information as requested by clients; act as receptionist.
Electronically sign in clients and provide patient routing software at sign‑in.
Act as key holder for the receiving room, managing parcel packages.
Answer telephone calls, schedule and confirm clinic appointments, verify insurance status, and update demographic information.
Obtain documentation of accurate demographic information (address, DOB, name, SSN, Medicaid numbers, etc.).
Verify Medicaid, Medicare, HMO, private insurance and financial eligibility in the appropriate computer screen.
Update, organize and maintain all client records; scan necessary documents such as photo IDs, custodial papers, court orders, required signature pages.
Enter new and updated client information into Florida Shots (FLSHOTS).
Ensure HMS has FLSHOTS ID number on the demographic page.
Train new Senior Clerk staff on appointment making, chart prep, payment acceptance and HMS/FLSHOTS access.
Review coding for EARS with new and existing staff.
Assist with client appointments, insurance updates, and billing upon exit.
Maintain online and in‑clinic fee schedules with current fees.
Ensure all forms used in Client Services are current versions per DOH policy and insurance requirements.
Work with Fiscal Billing to keep fees current in HMS.
Complete all mandatory trainings, in‑service programs and workshops.
Type routine correspondence, memoranda and reports.
Perform other related duties as required.
Required Knowledge, Skills, and Abilities
Knowledge of effective communication principles and techniques.
Knowledge of office procedures and practices.
Basic arithmetic ability.
Ability to deal with the public in a tactful, courteous and effective manner.
Clear and correct speaking and listening skills.
Ability to record and evaluate data for applicant employment or health‑care assistance.
Understanding and applying applicable rules, regulations, policies and procedures related to employment or assistance.
Review data for accuracy and completeness.
Organize and maintain filing systems.
Plan, organize and coordinate work assignments.
Communicate effectively and establish working relationships with others.
Qualifications
Must be a current DOH employee in an OPS/CS/SES/SMS position.
Must have one or more years of experience working in the Client Services Department.
