This exciting opportunity provides high‑level administrative and strategic support to senior leadership. The EA partners closely with executives to manage schedules, communications, and priorities, enabling leaders to focus on organizational strategy and outcomes. The EA exercises sound judgment, discretion, and professionalism while handling confidential information and representing leadership internally and externally. This position is based out of the Madison, WI office and is fully onsite. Responsibilities
Serve as the primary administrative partner to the CEO, managing complex and dynamic calendars, priorities, communications, and preparation Anticipate executive needs and proactively identify and resolve scheduling, priority, and resource conflicts across multiple leaders Prepare executives for meetings with agendas, briefing materials, and follow‑ups Act as a trusted gatekeeper, exercising sound judgment to triage requests and protect executive focus Provide ongoing administrative and operational support to the VP of Finance and VP of Sales, including calendar management, meeting coordination, and preparation of materials Draft, edit, and manage executive correspondence, presentations, and reports Coordinate information flow between executives and internal/external stakeholders Track action items, decisions, and commitments to ensure timely follow‑through Coordinate board, leadership, and committee meetings, including agendas, materials, logistics, and minutes as needed Plan and execute executive‑level meetings, off‑sites, and events Coordinate executive travel, expense reporting, and meeting logistics Essential Qualifications
3-5 years of experience supporting C‑suite and senior executives in a complex, fast‑paced environment Demonstrated experience managing multiple executive calendars with competing priorities Exceptional organizational, time‑management, and problem‑solving skills Strong written and verbal communication abilities High level of professionalism, discretion, and integrity Proficiency with Microsoft Office Experience with collaboration tools (Teams, Zoom) and expense/travel systems Beneficial Qualifications
Experience in a similar role supporting multiple people Experience with travel coordination and working across multiple time zones. Physical Demands
