Student Information Specialist

Work under general supervision to provide administration, operation, and systems management of the district’s student information system. Work cooperatively with curriculum and the schools to integrate, configure, and roster technology-based curriculum. Accurately prepare, audit, and file government reports. Train staff at the schools, curriculum, and the business office in the proper use of the student information system.
Minimum Required Qualifications
Graduation from accredited two (2) year college/university with a computer science or information technology degree and at least two (2) years of job‑related experience, or Industry/Military IT certifications combined with at least four (4) years of job‑related experience.
At least two (2) years of experience working with databases, student information systems, or other relational data or information system.
At least two (2) years of experience working with student information systems such as Aeries, PowerSchool, Illuminate, or other similar database application.
At least two (2) years of experience writing and running database queries, preferably Aeries queries on the Aeries student information system or SQL queries on Microsoft SQL Server.
At least four (4) years of experience analyzing data in Excel and Google sheet.
At least two (2) years of experience with Google Suite for Education including using Sheets and Forms for data processing and collection.
At least four (4) years of experience with Microsoft Office, including using Excel for data analysis, PowerPoint for presentation, and Word for written reports.
Ability to work collaboratively and effectively as a team member in an office environment and maintain courteous relationships with colleagues throughout the district.
Ability to train others in the use of the district’s student information system, including training non‑technical and secretarial staff.
Ability to work calmly and accurately under pressure and with frequent interruptions.
Ability to understand and accurately carry out oral and written instructions.
Ability to communicate effectively, professionally, and courteously using email, phone, and other communication media.
Experience with modern operating systems and platforms, including Google Suite for Education and Microsoft Windows.
Valid California driver license.
Desirable
Graduation from accredited four (4) year college/university with a degree related to computer science or information technology, an AA degree related to computer science or information technology with at least four (4) years of job related experience, or Industry/Military IT certifications combined with at least six (6) years of job related experience.
At least four (4) years of experience working with databases, student information systems, or equivalent relational database system.
One or more Google Certifications.
Experience programming in one or more of the following languages: PowerShell, Visual Basic for Applications (VBA) for Excel, macros/VBA for Microsoft Office, HTML, JavaScript, and modern web languages.
At least two (2) years of experience with Microsoft SQL management studio or equivalent database management system.
Experience accurately preparing, auditing, and filing reports, including government reports such as CALPADS.
Duties And Responsibilities
Manage and operate the district’s student information system, including patching, updating, troubleshooting, debugging, backing up, and general maintenance.
Prepare analytical and assessment reports of student and staff data to site staff, curriculum, and the district office.
Oversee, audit, prepare, and file state and federal reports such as CALPADS and for the Office of Civil Rights.
Work collaboratively with Curriculum and the schools to integrate, roster, and configure applications. Assist in importing and exporting data as required.
Work collaboratively with the Information Systems Specialists to integrate and configure integrations between the student information system and core IT infrastructure, such as integrations with Active Directory and Google Suite for Education.
Work collaboratively with the schools and the business office to ensure accurate attendance accounting.
Work collaboratively with Human Resource to ensure accurate staff data in the student information system.
Work collaboratively with all departments to help guide implementations of new modules and new technologies affecting the student information system.
Manage the annual cycle of the student information system.
Assist Help Desk answering support questions related to the student information system such as resetting passwords, creating accounts, and similar administrative activities.
Advise supervisor on upcoming regulatory changes, changes in government filings, or other external factors that affect the operation or procedures for the student information system.
Create and deliver training to district and school site staff. Write manuals and tutorials.
Perform other duties as required as reasonably related to classification.

C: Maintain the privacy of confidential information including pupil data, staff data, or any other data accessible through the IT systems.
