Front Desk Intake Administrative Specialist OASAS‑Licensed Outpatient Program
Location:

Schedule:
3 days per week, 9:00 AM–5:00 PM; 2 days per week, 10:00 AM–6:00 PM
Total Hours:

Overview We are an OASAS‑licensed outpatient program providing evidence‑based addiction treatment and recovery support. We are seeking a detail‑oriented Front Desk and Intake Coordinator to greet clients, manage appointments, input data, support intake processes, manage billing‑related tasks, and coordinate office operations. This role requires exceptional organization, dependability, and a compassionate, client‑centered approach.
Key Responsibilities
Greet clients and visitors as they enter the facility; verify identification and direct to appropriate staff.
Coordinate appointment scheduling with referents and self‑referred clients; manage waitlists and confirm upcoming visits.
Input new appointments into the EMR/Practice Management system; ensure accurate data entry.
Check insurance cards and verify coverage; schedule follow‑up appointments to complete intake including medical assessments with the Nurse.
Send appointment reminders to clients by phone or text; document confirmations and changes.
Liaison with referents during intake via email or phone to facilitate smooth onboarding.
Maintain weekly Intake Flow Sheet and update as needed.
Responsible for Daily and Weekly Attendance Tally; record attendance in the EMR.
Update Master Sheets, Criminal Justice Medicaid records, and Bronx Census as required by program operations.
Review insurance cards every two weeks for accuracy and eligibility.
Record medical assessments, initial psychosocial evaluations, and medication follow‑ups in the EMR.
Oversee the completion of Federal toxicology testing, including preparation of requisitions, specimen bottles, and transport bags; coordinate with labs.
Enter data into the STARS (or your designated data system) daily, weekly, and monthly.
Prepare Attendance Logs for billing and ensure documentation supports services rendered.
Prepare Monthly Daily Sign‑In sheets for USPO billing and related reporting.
Collect and process payments/co‑pays; provide receipts and document financial transactions.
Manage Office Inventory:
Order supplies for toxicology testing from Xeron Lab and USPO Lab.
Order general office supplies and maintain stock levels.
Issue and maintain a log of MetroCard disbursement for clients as applicable.
Other administrative tasks and special projects as assigned.
Required Skills And Qualifications
High school diploma or GED; associate degree or equivalent experience preferred.
Prior experience in a front desk, administrative, or receptionist role; healthcare or behavioral health setting preferred.
Proficiency with electronic health records (EHR)
Strong interpersonal and communication skills; ability to interact respectfully with clients from diverse backgrounds.
Excellent organizational and time‑management abilities
Ability to multitask, prioritize, and work calmly in a fast‑paced clinical environment.
Data‑entry accuracy and problem‑solving skills; ability to identify and elevate issues appropriately.
Basic financial skills for processing payments and co‑pays; ability to maintain accurate financial records.
Dependability, punctuality, and a collaborative team player attitude.
Bilingual abilities (e.g., Spanish) are a plus but not required.
