Executive Assistant

Job Summary The Executive Assistant to the Associate Vice Chancellor for Human Resources provides administrative support to the AVC HR and programming support to the Human Resources Department, including managing the HR budget, employee award programs, and assisting in the coordination of HR initiatives.
Key Responsibilities
Administrative Support to the AVC for Human Resources
Maintains the AVC‑HR calendar, coordinating meetings, responding to requests, and prioritizing high‑priority items.
Monitors and responds to email correspondence from the AVC‑HR general email.
Responds to requests for information on behalf of the AVC‑HR.
Requests information from other staff members or departments.
Serves as primary contact for internal and external constituencies regarding the role and responsibilities of the AVC‑HR and/or the HR department.
Attends team meetings and facilitates HR administration and project deliverables communication between the AVC‑HR and the HR leadership team.
Tracks pending items and ensures they are completed timely.
Compiles, researches, develops, and disseminates information, data, reports, and documents that facilitate the AVC‑HR’s ability to operate and effectively lead the department.
Screens and responds to requests, including researching data, compiling summaries, and formulating recommendations.
Assists with coordination with departmental interns.
Program Management
Track and monitor project initiatives and strategic goals, including assignments to direct reports and staff, timelines, deadlines, and deliverables.
Assist with coordination of departmental interns; prepare notes and briefing materials for designated AVC meetings.
Research, organize, and compile relevant project information and materials.
Manage the AVC‑HR’s commitments on projects, committee involvements, and follow‑up.
Prepare PowerPoint presentations, graphs, and charts for data visualization.
Coordinate and manage award programs such as the Governor’s Award, Service Awards, Gladys Strawn Bullard, etc.
Financial and Budget Management
Provide budget projections for annual budget oversight throughout each fiscal year.
Monitor salary budgets and lapsed salary dollars.
Manage, coordinate, and monitor several distinct accounts.
Work directly with the university budget analyst to reconcile budget accounts and ensure successful year‑end closeout.
Maintain P‑Card and reconcile P‑Card expenses within established deadlines.
Coordinate requests from HR staff and prepare information for budget decisions.
Other duties as assigned
Perform other duties as assigned.
Minimum Qualifications
Bachelor’s degree, preferably in business administration or a related discipline, or equivalent combination of training and experience.
Preferred Qualifications
Previous experience providing high‑level administrative support with the ability to draft and compose correspondence and other documents.
Excellent oral communication skills.
Ability to manage the departmental budget.
Must be able to work in a team‑oriented environment.
Experience working with confidential and sensitive information preferred.
Salary Range $56,000 - $59,000

Percentage of time: 100% (50% administrative, 25% program management, 5% financial and budget)
