We are looking for a detail‑oriented Medical Records Coordinator to join our Care Support team. The coordinator will focus on records processing, including but not limited to sending out patient authorization forms, retrieving medical files, and facilitating form completion from members and providers. The role maintains a basic understanding of HIPAA regulations surrounding member privacy and records release requests and provides non‑clinical administrative support to our members and providers.

This is a temporary position with the opportunity to extend or become permanent full‑time based on performance and/or business needs. As a temporary (contract) role, this position is not eligible for any non‑statutory benefits. Flexibility to support occasional shift adjustments is preferred: ability to work one weekend per month and at least four holidays per year. Advance notice will be provided when possible.

9:00 AM ‑ 5:00 PM EST

10:00 AM ‑ 6:00 PM EST

12:00 PM ‑ 8:00 PM EST

What You’ll Be Doing

Uploading records requests and patient authorization forms including processing medical record requests and provider letters

Building relationships with providers, patients, and internal teams (Care Navigation, Provider Success, etc.) for the purposes of medical records management

Assisting members with Mental Health Leaves & Accommodations (MHLA) requests, liaising with provider and third parties as needed

Providing weekly metrics on new, in progress, and completed medical records requests

Responding to emails, supporting inbound and outbound phone calls, and assisting with patient support tickets as needed

Following HIPAA guidelines while ensuring the confidentiality of patient PHI

Maintaining a consistent workflow by processing all requests within 24‑48 hours of receipt for assigned medical records tickets

Monitoring incoming requests received through various means and subsequently reporting any suspicious release of medical records requests

What We Expect From You

Minimum of 1 year experience in a similar role

Advanced understanding of medical terminology and HIPAA

Outstanding communication and interpersonal abilities

Strong attention to detail with excellent organizational and time‑management skills

Experience with Adobe Acrobat, Google Sheets, Google Docs, and MS Office

Comfortable in rapidly changing environments and with constantly evolving responsibilities

Tech‑savvy: very comfortable adopting new technologies and platforms and efficient in tech‑related tasks

Excellent written and verbal communication skills

Ability to multi‑task and context‑switch

The target base salary range for this position is

$26.05 – $32.18 per hour . Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations.
