Donor Services Supervisor Job Type: Direct Hire | Salary: $69,000 annually (plus benefits)
Location: Ossining, NY | On-site (Monday-Friday, 8:30am-4:00pm)
Job Overview Madison Approach Staffing is recruiting for a Donor Services Supervisor to lead our client's Donor Services team. Our client is an established nonprofit organization dedicated to serving communities worldwide, particularly among underserved populations. This role is pivotal in maintaining data integrity, streamlining operations, and supporting overall fundraising efforts through effective team supervision and technical oversight of donor management systems. The ideal candidate will provide direct supervision of Donor Services staff, ensure accuracy in gift processing and acknowledgments, develop and enforce donor database procedures, and serve as liaison between departments to coordinate system improvements. This is a direct hire opportunity with comprehensive benefits.
Key Responsibilities
Direct the daily supervision of Donor Services staff including assigning tasks, monitoring performance, providing guidance, and conducting training and annual performance reviews
Assist in the development, implementation, and enforcement of procedures related to the donor management system to ensure consistency and compliance
Ensure accuracy and timeliness in donor data entry, gift processing, acknowledgments, and all donor‑related transactions
Research and resolve complex processing issues within the donor database; recommend and document effective solutions
Develop, update, and maintain comprehensive processing procedures manuals; ensure all staff members comply with established procedures
Serve as the primary liaison between Donor Services and other departments (Development, Finance, Communications) to coordinate system modifications and improvements
Provide regular reports and statistical summaries to management regarding donor activity, gift trends, and team performance metrics
Support staff with goal setting, professional development plans, and ongoing updates on organizational priorities and initiatives
Facilitate effective communication through team meetings, emails, and phone calls regarding donor services operations and procedures
Oversee quality control processes to maintain high standards of data integrity and donor stewardship
Manage donor database system configurations, user permissions, and technical troubleshooting
Coordinate with IT and database vendors to resolve technical issues and implement system enhancements
Monitor workflow efficiency and recommend process improvements to enhance productivity
Ensure timely and accurate donor acknowledgments and tax receipts in compliance with IRS regulations
Train staff on new system features, updated procedures, and best practices in donor data management
Required Skills & Experience
Education: Associate degree or equivalent in Computer Science, Technical Training, or related field required
Database Experience: Minimum 5 years of hands‑on experience with donor management systems/databases such as Raiser's Edge, Salesforce NPSP, DonorPerfect, Bloomerang, or similar platforms
Supervisory Experience: Proven experience supervising staff including conducting performance evaluations, providing coaching, and supporting professional development
Fundraising Knowledge: Strong understanding of fundraising operations, donor relations, and development best practices
Process Development: Demonstrated ability to develop, document, and enforce procedures while ensuring team compliance
Data Analysis: Skilled in compiling, analyzing, and reporting statistics and donor metrics to leadership
Technical Proficiency: PC literate with strong proficiency in Microsoft Office Suite, particularly Excel for data analysis, Word for documentation, and Outlook for communication
Attention to Detail: Exceptional attention to detail for maintaining data accuracy and ensuring error‑free gift processing
Problem‑Solving: Strong analytical and troubleshooting skills to resolve database and processing issues
Communication: Excellent verbal and written communication skills with ability to train and guide team members
Organization: Strong organizational skills with ability to manage multiple priorities and meet deadlines
Preferred Skills & Experience
Bachelor's degree in related field
Experience specifically with Raiser's Edge or Blackbaud products
Certified Fund Raising Executive (CFRE) or similar fundraising certification
Experience in nonprofit sector, particularly with international nonprofit organizations or faith‑based organizations
Knowledge of IRS regulations regarding charitable gift acknowledgments and substantiation
Experience with data imports, exports, and database integrations
Familiarity with donor engagement and stewardship strategies
Project management experience related to database conversions or system implementations
Understanding of GDPR and data privacy regulations
Experience with query writing and custom reporting
Training or adult education experience
