Administrative Support Position
Responsibilities:
1. Under general supervision, provide comprehensive administrative support to ensure the effective operations of the main office and school while supporting the clerical needs of administrators, teachers, staff and students.
2. Schedule appointments and meetings and assist in planning events. Attend meetings to record and transcribe minutes as needed.
3. Prepare special reports and perform special projects that may require research and organizing information. Analyze operating procedures to recommend new or to revise existing methods.
4. Read and analyze incoming correspondence and reports to determine their significance and distribution including faxes and email.
5. Greet visitors and callers and handle their inquiry in a prompt and friendly manner and direct them to the appropriate people according to their needs.
6. Compose and distribute invoices, memos, letters, records, electronic mail, forms and other documents.
7. Assist in development in department budget and department payroll. Provide monthly budget reports as needed.
8. Develop and provide training for office staff regarding SOPs. Attends any professional development as needed. Coordinate workload of subordinate employees to accomplish tasks. Provide guidance to subordinates in meeting performance standards. Act as an office manager in a non-supervisory capacity as needed.
9. Safeguard and secure assessments, evaluations, and/or other examination materials.
10. Organize and maintain paper and electronic filing systems for records including databases, reports, calendars, other materials.
11. Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
12. Review work done by others to check for completeness and spelling. Receives checks and cash for deposit, verifies amount, and examines checks for endorsements, deposits funds and maintains records as needed.
13. Conduct oneself in an ethical manner and always maintain high level of confidentiality for student and staff records and information.
14. May assist in the following tasks: updating department websites, researching grants and preparing documentation for grant submission, serve as a backup for the automated telephone system, and/or translate and interpret information verbally or in writing in a different language.
15. Assists and determines bus routes including regular daily transportation, special ed. and athletic/field trip schedules including establishing bus routes and assigning student to routes by utilizing routing and mapping software.
16. Notify bus companies, parents, and school personnel of any changes in a students bus service, including address changes, pickup/drop-off locations and times.
17. Responds to parent/student bus complaints in a timely manner and maintains a log as directed by Senior Asst. Principal.
18. Assist the Student Activities Coordinator and provide administrative support for special events like Senior Awards/Scholarship Night, as needed.
19. Perform other duties as required.
Qualifications:
- High School Diploma required.
- Ten years of increasingly responsible administrative experience required. Education is able to substitute for some work experience.
- Proficient in using computer software applications including Microsoft Office, Google Suite, X2-MUNIS, etc.
- Excellent multitasking, problem solving and time management skills with a strong attention to detail. Able to type or keyboard at a skill level of 60 error free words per minute. Strong communication skills with Spanish language ability preferred.
