The Operations Receptionist is an entry-level, on-site position responsible for providing professional front desk coverage and general administrative support within a cleared government contracting environment. This role serves as the first point of contact for employees, visitors, and vendors and supports daily office operations while adhering to DCSA and NISPOM requirements. The position also assists with operational tasks, including reconciliation of employee travel expense reports, and supports administrative compliance activities under established procedures.
Key Responsibilities
Serve as the primary point of contact at the front desk, greeting visitors, employees, and vendors in a professional and courteous manner
Answer, screen, and route incoming phone calls and emails
Manage visitor check-in and check-out in accordance with facility procedures
Issue, track, and collect visitor badges as required
Maintain continuous front desk coverage during normal business hours
Ensure reception and common areas remain orderly, professional, and compliant with facility standards
Direct visitors to appropriate personnel while following access control procedures
Office & Administrative Support
Assist with scheduling conference rooms and coordinating meetings
Support day-to-day office operations and administrative tasks
Handle incoming and outgoing mail, packages, and deliveries in accordance with company procedures
Perform clerical duties such as filing, scanning, copying, and data entry
Maintain office supply inventory and assist with ordering and restocking
Compliance & Administrative Support (Cleared Environment)
Assist with routine administrative tasks related to operating in a cleared facility, under supervision
Support maintenance of visitor logs, access records, and administrative tracking documentation
Follow all company policies related to safeguarding, confidentiality, and controlled environments
Adhere to DCSA and NISPOM requirements applicable to front desk and administrative personnel
Travel & Expense Support
Assist with reviewing and reconciling employee travel and expense reports
Help ensure expense reports comply with company policies and government contracting requirements
Coordinate with employees and finance staff to resolve basic discrepancies
Maintain accurate and organized travel and expense documentation Required Qualifications
High school diploma or equivalent
0–2 years of experience in a receptionist, front desk, administrative, or office support role
Basic computer proficiency, including Microsoft Office (Outlook, Word, Excel)
Strong customer service skills with a professional demeanor
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Ability to multitask, prioritize, and remain composed in a professional office environment
Dependable, punctual, and able to handle sensitive information with discretion
Willingness to learn and comply with DCSA and NISPOM requirements
Security & Clearance Requirements
U.S. citizenship required
Ability to obtain and maintain a U.S. Government security clearance
Successful completion of background screening and onboarding requirements
Preferred (Not Required) Qualifications
Previous experience in a cleared government contracting environment
Familiarity with NISPOM or DCSA-regulated facilities
Experience with travel booking or expense reporting systems
Prior front desk or administrative experience in a professional office setting
Work Environment
On-site cleared office environment
Regular interaction with employees, visitors, and vendors
Position requires professionalism, discretion, reliability, and strict adherence to established procedures and compliance requirements
Salary Range $15.00 - $17.00 per hour
