Office Manager - Office of Communications & Marketing - UTK Knoxville, TN, United States

Job Description Reporting to the Business Manager, the Office Manager supports the operational, technological, and administrative infrastructure of the Office of Communications & Marketing (OCM), ensuring that staff across multiple locations have the resources, systems, and support needed to deliver high-quality work aligned with the university’s mission.

Responsibilities Executive administrative support:

provide high-level administrative support to OCM executive leadership.

General administrative support:

serve as the first point of contact for visitors to OCM; take ownership of administrative processes and responsibilities on behalf of OCM including, but not limited to, mail and deliveries, conference room reservations and meeting support, parking administration, and office supply management.

HR support:

manage processes for onboarding new employees and offboarding departing employees; oversee payroll activities to ensure deadlines are met; manage student and temp hiring; provide support for the OCM’s intern program.

Manage office physical space across multiple locations:

oversee physical office space across multiple locations, ensuring functionality, safety, and alignment with university standards.

Manage departmental equipment:

oversee the ordering, deployment, tracking, and maintenance of departmental equipment.

Qualifications Required High school diploma and four years of administrative experience in an office environment or bachelor’s degree and two years of administrative experience in an office environment.

Knowledge, Skills, and Abilities

Exceptional customer service and interpersonal skills

Knowledge of basic office management

Excellent oral and written communications skills

Strong organizational skills and attention to detail

Commitment to supporting the workload of the entire team in a positive, equitable, and flexible manner

Strong personal initiative and ability to proactively manage and prioritize assigned tasks and meet deadlines

Professional integrity, including a thorough understanding of confidentiality

Demonstrated judgment skills and tact in handling sensitive situations

Proficiency with the Microsoft Office software suite and Adobe applications

Understanding of basic computer hardware and software set-up and troubleshooting

Desire and ability to learn new processes, technology, and software as necessary to ensure the effective administration of the office

Preferred

Five or more years of administrative experience in an office environment

Experience in higher education

Work Location Knoxville, TN
