Description The Administrative Assistant / Secretary I provides administrative, clerical, and office support services to a Washington, DC–based Government Affairs team. This role is responsible for calendar management, scheduling, document preparation, meeting coordination, data entry, and general office operations. The ideal candidate demonstrates strong organizational skills, attention to detail, time management, and the ability to handle confidential information in a professional environment.
Essential Duties and Responsibilities
Provide administrative and secretarial support to management and staff
Manage calendars, schedule meetings, and coordinate conference rooms and logistics
Prepare, edit, and format correspondence, reports, presentations, and briefing materials
Attend meetings, briefings, and webinars as required; prepare summaries and meeting notes
Perform data entry, tracking, and reporting activities using Microsoft Excel and other tools
Maintain electronic and hard-copy filing systems and contact databases
Conduct basic research using office productivity and AI-enabled tools
Support event coordination, internal projects, and administrative initiatives
Perform additional clerical and administrative duties as assigned
Education
High School Diploma or equivalent required
Associate’s or Bachelor’s degree in Business Administration, Public Administration, Political Science, or related field preferred
Experience and Skills
1–3 years of administrative assistant, secretary, or office support experience
Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
Experience using collaboration tools such as Microsoft Teams and SharePoint
Ability to learn and adapt to AI-enabled productivity tools (e.g., Copilot or similar)
Strong written and verbal communication skills
Excellent organizational, multitasking, and time-management abilities
High attention to detail and accuracy
Ability to work independently and collaboratively in a team environment
Proven discretion and sound judgment when handling confidential or sensitive information
