SUMMARY

The

Conference Services Manager

( Gerente de Servicios de Conferencias ) coordinates arrangements for group bookings. Is directly involved and responsible for gathering details and communicating them to the appropriate departments. Projects a positive, friendly and knowledgeable demeanor while intensely focusing on providing world‑class guest services.

ESSENTIAL DUTIES

Works in conjunction with the sales team during site visits to ensure all necessary information can be communicated to potential guests.

Contacts guests within the specified time to extract details and provide professional guidance where needed during the planning stages.

Inspect all function rooms and greets meeting planners prior to the start of each event and introduce the client to Banquet Captain.

Works directly with the Director of Catering and Conference Services in the preparation of the monthly forecast.

Understands and responds to all guest needs and requests in a timely and professional manner, to ensure consistent service. Also takes personal responsibility for the complete satisfaction of all in‑house groups.

Acts as a liaison between hotel and groups, ensuring meeting space is appropriately set up, and handling any special client requests to ensure the highest quality of guest service and complete guest satisfaction.

Creates group banquet event orders which detail banquet room set up, food, beverage, timing and specific details regarding each event.

Plans all group food and beverage events, including assistance with menu and wine selection, decor, and entertainment.

Creates group resumes which detail group purpose, room/suite block/pickup, rates and special negotiations, VIP's, meeting and recreation agenda, A/V, accounting, and all special instructions to operational departments of their hotel.

Communicates last minute changes in‑group functions to hotel staff and ensure satisfactory follow‑up.

Maintains cordial social and business contact with representatives of past, repeat and potential group business.

Performs additional duties and responsibilities as directed by the leadership team.

QUALIFICATIONS

High school diploma or GED.

At least 2-4 years of relevant experience and/or training.

Previous similar position in a hotel, or similar business entity preferred.

Ability to always maintain a friendly, professional, team‑oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.

Must be able to attain a valid San Diego County Food Handler certification upon hire. Evans Hotels will provide this training and is to be completed at the company’s expense.

RBS certification required.

Availability to work on weekends and holidays is required.

Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
