ROLE OVERVIEW and PURPOSE

The Employee Wellness & Engagement Program Specialist supports employee wellness and engagement initiatives by coordinating programs, managing the Volunteer Time Off (VTO) policy, and maintaining vendor partnerships. This role administers key employee surveys, organizes meetings for wellness champions, and assists with event planning, including the Annual Clinician Retreat. The specialist collaborates with HR and teams to ensure aligned communications and positive employee experience.

RESPONSIBILITIES

Wellness & Engagement Program Support

Coordinate Quarterly Wellable Challenges and Team-Building Series, including scheduling, event logistics, communication, and vendor management.

Manage day-to-day administration of the Volunteer Time Off (VTO) program.

Support wellness-related contracts and partnerships (The Seabird – Clinician Retreat Venue, Thrive, Grape Day 5K, Walk to End Alzheimer’s) including communications, logistics, and contract/invoice processing.

Maintain and support Calm app access for 800+ users.

Assist with Clinician Wellness initiatives and related communications.

Meeting Coordination

Prepare agendas, materials, and follow-up actions for monthly Culture Champions and Clinician Wellness Champions meetings.

Maintain updated rosters, communications, and calendars.

Survey Management

Administer key surveys end-to-end, including the Maslach Burnout Inventory, San Diego Clinician Survey, Riverside Clinician Survey, Pulse Survey, and ad hoc surveys as needed.

Coordinate survey design updates, deployment, reminders, data collection, and basic summary reporting.

Event & Communication Support

Support planning and execution of the Annual Clinician Retreat (logistics, vendor coordination, communications).

Draft and distribute employee-facing communications related to wellness, surveys, and employee experience initiatives.

Collaborate with HR and cross-functional teams to ensure aligned messaging and smooth program operations.

EDUCATION/EXPERIENCE

3-5 YOE Experience supporting programs, projects, or events in a professional setting required

Bachelor's degree in public relations, marketing, human resources, communications, psychology, and humanities preferred

Experience in HR, employee experience, organizational development, or wellness programs preferred

Experience with platforms such as Wellable, Calm, or survey tools (UKG Employee Voice, SurveyMonkey) preferred.

Experience coordinating events for large groups preferred.

ADDITIONAL QUALIFICATIONS (Knowledge, Skills and Abilities)

Strong communication and leadership abilities.

Excellent verbal and written communication skills, including superior composition, typing and proofreading skills

Ability to interpret a variety of instructions in written, oral, diagram, or schedule form

Ability to successfully manage multiple tasks simultaneously

Excellent planning and organizational ability

Ability to work as part of a team as well as independently

Ability to work with highly confidential information in a professional and ethical manner

Ability to work under pressure and be flexible with changing site needs. Can work with people of all social and ethnic backgrounds and maintain confidentiality. Able to train and manage staff in a collaborative manner.

Maintains current knowledge of policies and procedures as they relate to safe work practices

Follows all safety procedures and reports unsafe conditionsUses appropriate body mechanics to ensure an injury free environment

Familiarity with location of nearest fire extinguisher and emergency exits

Follows all infection control procedures including blood-borne pathogen protocols

Maintains privacy of all patients, employees and volunteer information and access such information only on a need-to-know basis for business purposes

Comply with all regulations regarding corporate integrity and security obligations

Reports all behavior and/or activity that are unethical, fraudulent, or unlawful

Pay Range: $32.40-$45.38 per hour, depending on experience.

Compensation Disclosure:

The posted salary range reflects the designated pay grade for this position. While this range represents the broader classification of the role, actual compensation will be based on several factors, including but not limited to: the candidate’s overall knowledge, skills, and experience, market data and industry benchmarks, internal equity within the organization, Budgetary considerations and organizational needs.
