GEM Realty Capital seeks a proactive, resourceful, and technologically proficient Executive Assistant to join our firm-wide executive assistant team. While this role will primarily support the General Counsel and Head of People & Culture, the successful candidate will also collaborate with other executive assistants to deliver seamless office management and administrative support across all departments.

This position is ideal for a self-managing professional with demonstrated experience in legal and HR environments, who thrives in a fast-paced, collaborative setting and is comfortable learning new systems and processes. This is primarily an in-office position located at GEMs office in Chicago, Illinois.

Key Responsibilities

Executive Support
  • Provide high-level administrative assistance to the General Counsel and Head of People & Culture, including calendar management, travel coordination, and expense reporting.
  • Act as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.
  • Independently manage priorities and deadlines with minimal oversight.
  • Willingly take on any task necessary to support team goals, whether simple, day-to-day administrative/office management tasks or complex projects.

Legal & Compliance Support
  • Manage legal records and document organization and support compliance tracking.
  • Support organization and upkeep of the firms entity management system.
  • Liaise with internal team and external legal counsel on administration of fund and transaction closings, legal, compliance, and regulatory administration matters.
  • Support review and execution of routine contracts.
  • Independently manage administration of legal invoices with accounts payable team.
  • Apply understanding of fundamental legal and compliance concepts to day-to-day support tasks.

People & Culture Support
  • Assist with onboarding processes, employee documentation, and HR compliance initiatives.
  • Support coordination of employee engagement activities including firm-wide events and community service projects.

Firm-Wide EA Team & Office Management
  • Collaborate as an active member of GEMs executive assistant team, supporting cross-departmental office management and administrative functions.
  • Participate in shared responsibilities such as meeting coordination, facilities management, and general administrative support for all teams.
  • Foster a spirit of teamwork and flexibility, stepping in wherever needed to ensure smooth operations across the firm.

Qualifications
  • Demonstrated experience (5+ years) as an executive assistant supporting senior roles
  • Prior experience providing executive-level support to a General Counsel and/or handling legal and compliance administrative tasks is required
  • High level of discretion and confidentiality in handling sensitive information and communications
  • Advanced user of Microsoft Outlook, Word, and PowerPoint. Proficient in Microsoft Excel and other enterprise platforms
  • Proficient with AI tools and able to quickly learn and implement new technology systems
  • Exceptional organizational and communication skills and attention to detail. Ability to anticipate needs and proactively solve problems
  • Notary public

Compensation

It is expected that the base annual salary range for this Chicago-based position will be $85,000-95,000. Actual salary for this position will vary based on factors, such as skill, experience, and qualification for the role. Employees will be eligible for a discretionary bonus, based on factors such as individual and company performance.
