Responsibilities Executive Administrative Support: Provides executive-level administrative support to the AVP, including calendar management, scheduling, correspondence, and travel coordination.
Prepares agendas, briefing materials, and presentations for high-level meetings and events involving university leaders, hospital executives, and government partners.
Screens, prioritizes, and responds to inquiries on behalf of the AVP, maintaining professionalism and confidentiality at all times.
Coordinates meeting logistics and ensures accurate records, documentation, and follow-up on action items.
Strategic And Project Support: Assists with planning and coordination of strategic initiatives related to clinical operations, hospital construction, and partnerships.
Tracks project deliverables, monitors timelines, and ensures alignment with institutional priorities.
Supports the development of reports, proposals, and briefing materials that advance the AVP’s strategic and operational goals.
Coordinates cross-functional collaboration among university and clinical stakeholders.
Communication And Liaison Functions: Serves as the primary administrative liaison between the Office of Clinical Affairs and key internal and external partners.
Coordinates communications and ensures consistent messaging with university offices, hospital systems, and external agencies.
Drafts, edits, and distributes correspondence, announcements, and reports on behalf of the AVP.
Maintains organized documentation of agreements, official communications, and partnership records.
Office And Fiscal Administration: Oversees administrative functions of the Office of Clinical Affairs, including procurement, reimbursements, and travel documentation.
Manages operational budgets, tracks expenditures, and ensures compliance with university and state fiscal policies.
Coordinates with the Finance and HR offices to support administrative staffing and operational needs.
Develops and maintains efficient office procedures, filing systems, and record retention processes.
Other Duties As Assigned: Performs additional responsibilities as directed by the AVP to ensure effective functioning of the Office of Clinical Affairs; may represent the AVP in meetings or events when appropriate.
Qualifications Job Related Minimum Required Education And Experience: Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications: Experience supporting executive leadership in higher education, healthcare, or public administration.
Demonstrated experience with budget management, project coordination, and preparation of executive communications and reports.
Knowledge, Skills, and Abilities Knowledge of university administrative processes and office management practices.
Exceptional organizational and time management skills; ability to handle multiple priorities simultaneously.
Strong interpersonal and communication skills (written and verbal).
Advanced proficiency with Microsoft Office Suite, scheduling platforms, and virtual meeting tools.
Ability to maintain confidentiality, exercise independent judgment, and demonstrate professionalism under pressure.
Demonstrated commitment to ethical, accurate, and timely work in a dynamic environment.
