Executive Assistant
Location: Brooklyn, NY

Schedule: Monday through Friday, Standard Business Hours

Position Summary
We are seeking a highly organized and proactive Executive Assistant to support the CEO in a fast?paced, on?site environment. This role is critical to ensuring smooth daily operations by managing schedules, coordinating meetings, handling correspondence, and supporting sales?related initiatives. The ideal candidate is detail?oriented, tech?savvy, and comfortable managing follow?ups, reporting, and administrative responsibilities with a high level of professionalism.
Key Responsibilities
Executive & Administrative Support
- Manage the CEOs calendar, scheduling meetings and appointments
- Coordinate and organize internal and external meetings
- Handle correspondence, emails, and follow?ups on behalf of the CEO
- Maintain accurate records of client interactions and communications
Sales & Operations Support
- Support sales initiatives through reporting and administrative assistance
- Prepare presentations, documents, and internal reports
- Manage all follow?ups related to sales calls and customer setups
- Assist with CRM updates and data organization
Organization & Coordination
- Ensure tasks and deadlines are tracked and completed efficiently
- Maintain organized records and files
- Assist with ad?hoc projects as needed
Qualifications
- Strong communication and interpersonal skills
- Experience in customer service and sales support
- Excellent organizational and time?management skills
- Ability to thrive in a fast?paced, team?oriented environment
- Proficiency in Microsoft Office Suite and CRM tools
- Comfortable using AI tools (e.g., Gemini, ChatGPT, etc.)
- Bachelors degree in Business, Marketing, or a related field preferred
- Prior experience in an executive assistant, administrative, or sales support role is a plus
