Job Summary

We are seeking an experienced Payroll Manager with a strong background in payroll and tax system integration to lead and optimize our multi-state payroll. This role is responsible for managing payroll, ensuring compliance with federal and state regulations, and supporting tax registration and reporting across 30+ states.

The ideal candidate is highly organized, detail-oriented, and proficient in platforms such as TriNet (PEO) and ADP, with hands-on experience in multi-state and multi-country payroll operations, including tax registration and compliance. This role is critical to ensuring seamless payroll execution, regulatory adherence, and a consistently positive employee experience across diverse jurisdictions.

What you'll bring:

* Lead multi-country, semi-monthly payroll operations for salaried and hourly employees across the U.S., Mexico, and Canada, ensuring accuracy, timeliness, and compliance in partnership with a managed service provider.

* Maintain compliance with federal, state, local, and international payroll laws, including tax filings, wage and hour regulations, and reporting requirements.

* Oversee payroll system configurations, employee records, earnings, deductions, and tax setups.

* Conduct regular audits and reconciliations to ensure data integrity and support internal/external audits.

* Manage quarter- and year-end payroll activities, including W-2, T4, and 1099 reporting, and validate tax payments.

* Align payroll data with general ledger reporting, accruals, and financial close processes in collaboration with Finance.

* Continuously improve payroll processes through automation and system enhancements.

* Partner with HR and Benefits to ensure accurate processing of benefits, bonuses, commissions, and leave-related pay.

* Support system integrations, benefit harmonization, and compliance during transitions.

* Manage DCAA-compliant timekeeping, labor distribution, leave processing, and expense reimbursements.

* Manage time and attendance systems, including leave processing, labor reporting, and distribution.

* Oversee travel and expense reimbursements, ensuring policy compliance and timely processing.

* Oversee mobile device inventory and cost allocation.

* Ensure secure handling of sensitive payroll data and respond to agency inquiries.

Experience, Skills, and Qualifications

* Minimum of 5-7 years of experience in payroll, benefits, and/or leave of absence administration.

* Strong knowledge of federal, state, local and provincial laws and regulations related to payroll.

* Mexico: IMSS, INFONAVIT, ISR, and other statutory contributions, CFDI payroll receipts, and compliance with Mexican labor law a plus.

* Knowledge of DCAA compliance, labor distribution, and federal contracting standards.

* Familiarity with Jamis Prime and/or Sage Intacct is a plus.

* Analytical and Calculation Skills: Ability to manage audits, track compliance deadlines, and resolve payroll/benefits discrepancies utilizing strong analytical and calculation skills.

* Proven ability to manage multi-jurisdictional payroll cycles, ensuring accuracy, timeliness, and compliance with local labor and tax laws.

* Fluency in Spanish is preferred; Brazilian Portuguese is a strong asset.

* Ability to work independently and as part of a team.

* CPP Certification is a bonus.

* Occasional, pre-scheduled travel may be required once or twice per year.

Note: Base salary range is $110,000.00 to $125,000.00. This range represents the expected compensation for this position. Actual salaries will vary and may be above or below the range when taking into account the wide range of factors that are considered in making compensation decisions, including but not limited to location; skill sets; experience and training; licensure and certifications; and other business and organizational needs.

Compensation decisions are dependent on the facts and circumstances of each case. The range listed is just one component of the total compensation package for employees.
