Executive/Administrative Assistant - 3 Months Contract

Job Description
The client is seeking a highly organized and proactive Executive/Administrative Assistant to support senior leadership. This role ensures smooth daily operations through managing complex calendars, coordinating travel and meetings, handling expenses, and serving as a key liaison across teams.
Key Responsibilities
* Provide dedicated support to three senior executives across middle and back-office functions
* Manage Outlook calendars and collaborate with other EAs to align schedules
* Coordinate business travel, client meetings, events, conference calls, and venue bookings
* Process expenses and reconciliations using CONCUR and COUPA
* Manage office supplies, maintenance requests, and business card orders
* Arrange food/beverage for meetings and handle business dinner reservations
* Support travel logistics for executives visiting NY from the Tokyo head office
Qualifications & Skills
* Bachelor's degree preferred
* On-site role (remote only with prior approval)
* Strong collaboration, multitasking, and communication skills
* Proficiency in Japanese and fluency in English required
* MS Office skills; familiarity with CONCUR and COUPA preferred
* Flexible, detail-oriented, and able to handle fast-paced demands
