Overview

This role supports the Administrative Manager in overseeing day-to-day office operations. The position also assists with new employee onboarding, basic HR administrative tasks, and event and cost management support. The ideal candidate is organized, service-minded, and able to multitask in a fast-paced environment. Duties and Responsibilities

* Provide general administrative support to the Administrative Manager and assist with other related tasks and assignments as needed.

* Assist with new employee onboarding activities, including preparing welcome materials, coordinating workstation readiness, and facilitating building and system access.

* Handle incoming and outgoing mail and courier services and maintain accurate logs of daily mailroom activities. Manage invoice payments and procurement process, assisting staff as needed.

* Provide assistance with business invitation letters, hotel accommodations, and rental car arrangements for visitors or employees traveling on company business.

* Assist with basic cost management initiatives by tracking recurring office-related expenses and supporting vendor coordination as directed.

Required Knowledge, Skills, and Abilities

* Strong proficiency in Microsoft Excel and the broader Microsoft Office Suite.

* Exceptional communication skills, both written and verbal, in Chinese (Mandarin) and English.

* Ability to remain adaptable and effective in a fast-paced, dynamic environment.

* High energy level, strong initiative, and a customer service-oriented mindset.

* Strong analytical and problem-solving skills. Current Driver's License required.

Education and Experience

* Bachelor's degree required, preferably in Business Administration, Human Resources, Marketing, Office Administration, Communications, or a related field.

* 1-2 years of administrative or office coordination experience required; experience in facilities or HR support is a plus.
