Work Comp Scheduler It is our goal to provide the finest Orthopaedic care possible. This philosophy requires that all office staff and providers be sensitive and responsive to patients’ needs and preferences. To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position. The position requires that the employee be available forty hours per week, and that also the employee be flexible in his/her schedule to provide efficient service for the group. The employee will be expected to work no more than five days per week. Many of the responsibilities require that you have a working knowledge of computers and the ability to learn the proper use of the programs utilized in this office, or those that may be necessary to meet the needs of the practice. The hours, pay scale, and benefits will be defined as agreed upon.

BASIC FUNCTION Under the supervision of the Clinic Director and the Work Comp Supervisor, the Work Comp Scheduler shall be responsible for scheduling and monitoring their assigned physicians’ schedules to ensure that their physicians are fully booked but also in accordance with the AO’s 20 minute wait time policy.

RESPONSIBILITIES Work is primarily performed in the Work Comp Department located in Arrowhead Orthopaedics’ offices. The duties of the Work Comp Scheduler are of high volume, and the quality of duties performed is needed to be at a high level. The employee will come into contact on a daily basis with confidential patient files. The Work Comp Scheduler must be able to handle this information with the highest degree of privacy, discretion, and professionalism. The Work Comp Scheduler is responsible for accomplishing the duties set forth below:

General Clerical Activities

Answer phone calls and direct them to the correct destination.

Receive calls from adjusters and attorneys.

Take intakes for new referrals.

Create charts.

Fax intakes and notification letters to adjusters.

Send packets to patients.

Print records from the system on established patients that are scheduled to come in for new work comp appointments.

Ensure employees receive all new charts for appointments.

Set up interpreters when needed.

Reschedule appointments and make sure new history and physicians’ times are added when appointments are rescheduled.

Check incoming faxes to see if any records from adjusters or attorneys have come in.

Check messages throughout the day including e-mails and phone.

Check faxes for confirmation.

Typical Physical Demands

Requires sitting and walking, with occasional stooping, reaching, and bending.

Occasional lifting up to thirty pounds.

Hearing must be in the normal range for telephone and personal communication.

Requires manual dexterity sufficient to operate keyboards and other office equipment.

RELATIONSHIPS

The employee shall be responsible directly to the Work Comp Supervisor.

The employee shall report to the Work Comp Supervisor and/or his/her assignees any progress, reports, requests, concerns, problems, or expectations in relation to the responsibilities of the position.

The employee shall interact with other office and clinical staff in the Practice in a collegial and professional manner.

The employee shall interact with patients, medical groups, adjusters, nurse case managers, hospitals, and primary care physicians. All communication should reflect the office’s commitment to quality care and customer satisfaction and any unresolved conflicts should be reported to the Clinic Director.

Requirements Skill Requirements Education: High school diploma or equivalence.

The ability to type 40 words per minute.

Skill in operating a computer and scanner, as well as software programs including Microsoft Outlook.

Telephone etiquette, superior customer service, and professional communication skills are required.

Must be flexible and able to multitask in a stressful setting.
