We are seeking a detail-oriented and organized
Accounts Payable Administrator
to join our team. This role is responsible for processing payments, managing invoices, and maintaining accurate financial records. While prior experience is preferred, we offer training and opportunities for growth within the company.
Key Responsibilities
Verify and release checks in a timely manner
Create, distribute, and track lien waivers and invoices
Organize and distribute accounts payable checks
Accurately enter invoices into Timberline (Sage 300)
Maintain positive relationships with subcontractors by resolving inquiries and issues
Monitor accounts to ensure timely payments
Research and resolve invoice discrepancies
Maintain organized and up-to-date vendor files
Generate monthly reports using Timberline
Assist with month-end closing procedures
Review and resolve outstanding items on vendor statements
Provide documentation and support for audits
Set up projects and enter contracts in Timberline
Send and track certificates of capital improvement
Qualifications
1–2 years of office or accounts payable experience preferred
Strong attention to detail and accuracy
Ability to meet deadlines and manage time effectively
Highly organized with strong follow-through
Proficient in Microsoft Excel and Word
Experience with Timberline (Sage 300) is a plus
Work Environment & Physical Requirements
Standard office environment
Ability to lift up to 20 lbs occasionally
Prolonged periods of sitting and computer use
Frequent interruptions and deadline-driven tasks
