Justin practiced as an attorney before transitioning into wealth management and focuses on delivering planning‑led advice with clarity and structure.

The firm is intentionally growing, and this role will be its

first dedicated client service hire . This is a critical position for someone who wants to be trusted, relied upon, and deeply involved in the day‑to‑day operations of the firm.

Role Overview The Client Service Associate is the firm’s frontline operational and client service hub. This role exists to remove paperwork and process bottlenecks from the advisors—particularly

annuity application processing , which is the firm’s top operational priority. This is not a passive or purely administrative role. The right person will

own workflows , track cases to completion, communicate proactively with clients and carriers, and keep the office running smoothly—even when the advisors are out of the office.

Key Responsibilities

Prepare, submit, and track annuity applications from start to finish

Coordinate directly with clients to gather missing or updated information

Communicate with annuity carriers regarding status, requirements, and follow‑ups

Prevent NIGO issues through careful review and documentation

Maintain organized records and status tracking for each case

Open and service client accounts through custodians (primarily Schwab, but experience with any major custodian is acceptable)

Support asset transfers, rollovers, and account maintenance

Proactively track and follow up to ensure timely completion

Serve as a primary point of contact for routine client service requests

Assist clients with account access, paperwork, and custodial questions

Escalate planning or complex matters to the advisors as appropriate

Manage scheduling for client and prospect meetings

Confirm appointments, handle rescheduling, and protect advisor calendars

Greet clients and prospects and maintain a professional, client‑ready office

Answer and route inbound calls; serve as first‑line communication

Prepare and reset conference rooms; manage mail and office logistics

Assist with seminars, client events, and follow‑up

Support CRM workflows, email campaigns, and light marketing coordination as capacity allows

Required Qualifications

Prior experience in a wealth management, financial advisory, or annuity‑focused office (RIA, hybrid RIA, independent BD, bank wealth platform, or similar)

Hands‑on annuity application processing experience

(end‑to‑end ownership preferred)

Strong attention to detail and process discipline

Professional, confident client communication skills (phone and email)

Ability to work independently and manage multiple workflows without constant supervision

Comfortable in a small‑team, entrepreneurial environment

Ability to work

full‑time, in‑office

in Knoxville during standard business hours

Preferred (Not Required)

Experience with annuity carriers such as Athene, Jackson, Delaware Life, Ibexis, or similar

CRM experience (Redtail, Salesforce, or comparable)

Notary Public

Experience supporting client events or seminars

You take pride in clean paperwork, proactive follow‑up, and being someone advisors can fully trust to run operations. You are comfortable being the first hire, value autonomy, and want a role that can grow into broader operations or office management as the firm expands.

Base salary:

$55,000–$75,000+ , depending on experience

Willingness to pay at the top of the range for a true plug‑and‑play candidate

No traditional benefits currently; healthcare stipend may be considered

Opportunity to grow with the firm as it scales
