Job Summary

The CU Book Store in Boulder invites applications for an Administrative Assistant III. This position provides administrative support for the Leadership Team, including calendar management, scheduling, event planning, communications, procurement, record keeping, and serving as the department liaison. The role requires initiative and sound judgment, with an emphasis on prioritizing workloads to support the success of the unit while ensuring compliance with state and university policies and procedures. The position acts as a professional and knowledgeable representative of the CU Book Store to university stakeholders and community partners. Key Responsibilities

Manage calendars for the Director and leadership team: respond to scheduling inquiries, accept, decline, and send appointments on behalf of the Director; ensure time for desk work, lunch, travel; reschedule conflicts based on priorities. Schedule meetings and manage the Director’s calendar: notify attendees, collect and dispense meeting materials, arrange meeting modality, space, and equipment, assist in organization of workshops, training, special events, and production of presentations. Provide comprehensive administrative support: draft, format, edit, finalize, and distribute correspondence and documentation; create surveys, compile responses, report data, perform research, analyze findings; file, manage, and retrieve documentation; coordinate with suppliers; initiate, track, and complete purchases; support personnel actions (recruitment, onboarding, off‑boarding, performance management); assist on miscellaneous projects; help run bimonthly newsletters, staff meetings, and events for staff and students; purchase supplies for staff and administration; process mail and maintain mail procedures. Serve as liaison with campus and university departments: attend liaison meetings, participate in relevant training, attend weekly Leadership Team meetings, strategic planning sessions, leadership events, all‑staff meetings, and student activities. Participate in Business, Finance and Infrastructure (BFI) support team meetings; provide support for BFI projects and events. Assist on the sales floor and attend other events and activities as assigned during peak periods and as business needs dictate. Requirements

Three years of experience in a related occupational field or appropriate education substituting for required experience on a year‑for‑year basis. Attention to detail and strong organization skills. Computer, typing, and database skills. Intermediate proficiency in Microsoft Office Suite, especially Excel. Excellent interpersonal and customer service skills. Preferred Qualifications

Previous retail experience. Experience working in a higher education environment. Work Schedule

Monday–Friday, 8 a.m. – 5 p.m.; some weekends and evenings may be required. Position primarily on‑site at the CU Book Store main location in Boulder, CO, with 1–2 days of hybrid work per week possible. Compensation & Benefits
