Role Overview
The Executive Assistant & Operations Coordinator is more than an administrative role. The position serves as a trusted extension of senior leadership—anticipating needs, maintaining momentum on priorities, and ensuring operational follow‑through across the organization. Success requires sound judgment, discretion, attention to detail, and a service‑oriented mindset. Essential Duties and Responsibilities
Executive Partnership
Provide proactive, high‑level support to senior leaders, including complex calendar management, meeting coordination, travel planning, and expense management. Anticipate executive needs and prepare leaders for meetings with clear agendas, materials, and context. Serve as a professional point of contact between leadership and internal teams, members, vendors, and partners. Track executive priorities, commitments, and follow‑ups to ensure nothing falls through the cracks. Ability to ascertain key points from legal documents, contracts, meetings and assorted communication and react, respond or assign as appropriate. Handle sensitive and confidential information with absolute discretion. Operational Coordination
Support the operational cadence of the organization by tracking initiatives, deadlines, and cross‑functional deliverables. Coordinate communication between departments to ensure alignment and clarity. Assist in planning and executing leadership meetings, offsites, and key initiatives. Maintain organized operational documents, SOPs, and internal resources. Identify gaps, inefficiencies, or risks and raise them thoughtfully with solutions in mind. Ability to be nimble and lend a hand in the operation. Accountability & Execution
Capture decisions, action items, and next steps from meetings and ensure follow‑through. Proactively follow up with leaders and team members to drive accountability. Manage special projects on behalf of leadership, from planning through execution. Bring structure and organization to complex or fast‑moving priorities. Administrative & Organizational Support
Assist with vendor coordination, contracts, and administrative logistics. Support onboarding logistics and coordination for new hires as needed. Maintain highly organized digital and physical filing systems. Comfortable with dashboards, trends, and analyzing variance to plan. Step in to support leadership and operations wherever needed. 5+ years of experience supporting senior executives in a high‑standards environment. Strong organizational skills with the ability to manage competing priorities calmly and effectively. Exceptional written and verbal communication skills. High emotional intelligence and professional judgment. Comfort working with confidential information and sensitive matters. Proficiency in Microsoft Office, Sharepoint, local Property Management Systems, and task/project management tools. Bluejack Attributes

Must possess a valid Texas Driver’s License and meet the driver safety policy requirements. Physical Demands and Work Environment
