We are currently looking to add a Recruiting Coordinator to join our team! The Recruiting Coordinator is a highly administrative role that supports full‑cycle recruiting operations by coordinating interviews, managing candidate communications, and ensuring a smooth and efficient hiring experience for both candidates and hiring managers. This position plays a critical role in temporary staffing management and vendor coordination, including managing relationships with external staffing agencies, overseeing temporary staffing needs, resolving billing discrepancies related to temporary labor, and maintaining accurate reporting, documentation, policies, and procedures to support effective recruiting workflows.

Required Skills/Abilities

Strong organizational and time‑management skills with attention to detail

Excellent written and verbal communication skills

Ability to manage multiple priorities in a fast‑paced environment

Comfortable reviewing invoices, contracts, and resolving discrepancies

Strong interpersonal skills and ability to build effective vendor relationships

Proficiency in Microsoft Office or Google Workspace

Bachelor's degree in human resources, Business Administration, or a related field (or equivalent experience)

1‑3 years of experience in recruiting coordination, HR, or staffing support preferred

Experience working with temporary staffing agencies and external vendors is a plus

Familiarity with applicant tracking systems and HRIS platforms

Responsibilities

Provide comprehensive administrative support to the recruiting and HR teams across all stages of the hiring process

Coordinate and schedule interviews, manage calendars, and facilitate communication between candidates, recruiters, and hiring managers

Serve as the primary point of contact for candidates throughout the recruitment process, ensuring positive and professional experience

Manage relationships with temporary staffing agencies and act as the main liaison for all temporary staffing requests

Coordinate and fulfill staffing needs for temporary positions, including tracking assignments, start and end dates, extensions, and conversions

Communicate job requirements, timelines, and expectations to staffing agency partners

Review, track, and reconcile invoices from temporary staffing agencies to ensure accuracy with approved rates, hours worked, and contractual terms

Investigate and resolve billing discrepancies in collaboration with staffing agencies, hiring managers, finance, and payroll teams

Maintain accurate and up‑to‑date records in the applicant tracking system (ATS) and other HR systems

Prepare, analyze, and maintain staffing reports, KPIs, and recruiting metrics related to hiring activity, time‑to‑fill, temporary labor usage, and vendor performance

Support budgeting and workforce planning efforts through accurate reporting and data tracking

Write, update, and maintain recruiting, staffing, and vendor‑related policies and procedures as needed

Ensure compliance with internal policies, labor laws, and temporary staffing agreements

Identify opportunities to improve administrative processes, reporting accuracy, and recruiting operations efficiency

Support onboarding logistics for new employees, including temporary and permanent employees

Physical Requirements

Ability to sit for extended periods of time while working at a computer and performing administrative tasks

Ability to use a computer, keyboard, mouse, and other standard office equipment for prolonged periods

Ability to communicate effectively in person, by phone, and via video conferencing platforms

Ability to view and interpret data on a computer screen, including reports and spreadsheets

Ability to occasionally stand, walk, bend, and reach as needed in an office environment

Ability to lift and/or move up to 10‑15 pounds occasionally (e.g., files, office materials)

Ability to maintain regular attendance and work a standard business schedule
