8 a.m. to 5:30 p.m. Monday, Tuesday, Wednesday, and Thursday. 8 a.m. to 12:00 p.m. on Friday. However, additional hours may be required to complete duties, including Friday afternoon and Saturday Clinic.
POSITION SUMMARY The Office Manager directs and manages all front office activities, including training and evaluating along with other related responsibilities. The Office Manager assists the RN Clinic Manager in operational management of healthcare services provided by Mainline Health Systems Inc. The Office Manager is involved in continuous Quality Improvement practices and measures as set by Mainline Health Systems, Inc. and in which the practice focus is based on a Patient Centered Medical Home model of care.
ESSENTIAL FUNCTIONS Recruitment and Hiring
Collaborate with the HR and Marketing Departments on all advertisements for front office staff positions.
Oversight for all front office staff recruitment activities including interviewing processes.
Supervision
Responsible for day to day supervision of front office staff
Collaborates with RN Clinic Manager on all front office staff complaints.
Annual evaluation of front office staff in collaboration with RN Clinic Manager.
Disciplinary actions of front office staff in collaboration with RN Clinic Manager.
Scheduling of front office staff
Office Supplies
Responsible for ordering office supplies
Quality Management / Improvement
Participates in Mainline Health Systems, Inc. quality improvement plan and performs duties in accordance to applicable standards
Safety / Infection Control Activities
Adheres to OSHA, HIPAA, CLIA and other safety regulations as necessary for proper operation of the clinics
The ability to work in a constant state of alertness and in a safe manner.

Perform other duties as directed by the RN Clinic Manager
Attends appropriate local, regional, and national meetings as necessary to represent Mainline Health Systems, Inc.
Participate in community events as needed
Collaborate with Corporate Compliance Officer for audits of front office staff
Performs sliding scale audits
Assist RN Clinic Manager with coordination and facilitation of monthly clinic meetings
Assist RN Clinic Manager with communication of and implementation of quality improvement practices.
Evaluation
Evaluation of work will be on-going, and will be carried out by the RN Clinic Manager
A formal annual review will be conducted each year by the RN Clinic Manager
Formal goals for position will be set annually each year by the RN Clinic Manager

SKILLS & ABILITIES Education
A bachelor’s degree in business administration is preferred; high school diploma is required
Experience
Two years of professional experience as an office manager, preferably in a healthcare setting, that included work in recruiting, hiring, evaluations, training and reporting.
Computer Skills
Computer skills with capabilities to utilize Excel spreadsheets, graphs, and Word documents preferred. Ability to learn and utilize electronic record keeping systems such as electronic medical record required.
Certificates & Licenses
Possession of a valid Arkansas Driver’s license is required. Independent travel is required.
