Business Process Manager / Director (Legal Operations)
We are seeking a Business Process Manager to design, optimize, and scale the operational workflows of a fast‑growing California litigation law firm. This role is responsible for ensuring that the firm’s core processes—from intake through billing and collections—are efficient, measurable, and consistently executed.
This is a hands‑on role for someone who enjoys untangling complexity, building systems that professionals actually use, and driving continuous improvement in a high‑autonomy, deadline‑driven environment.
Key Responsibilities Process Design & Optimization
Map, document, and improve end‑to‑end workflows including intake, pleadings, discovery, trial preparation, billing, and collections
Identify bottlenecks, rework, delays, and failure points in professional‑services processes
Design practical, attorney‑friendly SOPs and ensure adoption across teams
Continuously refine processes as volume, staffing, and technology evolve
Project & Change Management
Lead cross‑functional initiatives involving attorneys, paralegals, intake, accounting, and operations
Manage process rollouts with clear documentation, training, and accountability
Drive adoption of new workflows in a high‑autonomy professional environment
Serve as the operational “owner” for core firm processes
Metrics & Performance Management
Design and track KPIs related to legal operations, including case cycle time, billing and collection rates, utilization and capacity, write‑offs and turnaround time
Build dashboards and scorecards that translate data into actionable insights
Use metrics to recommend and implement operational improvements
Billing, Collections & Revenue Operations
Improve billing accuracy, timeliness, and consistency
Partner with accounting and legal teams to increase realization and collection rates
Implement process controls that reduce leakage and delays
Risk, Quality & Compliance
Design process safeguards to reduce missed deadlines, filing errors, and service defects
Ensure documentation standards suitable for audit, compliance, and litigation scrutiny
Maintain awareness of ethical and confidentiality constraints in legal services
Tools & Technology
Process mapping and documentation tools
SOP and knowledge‑base systems
CRM and intake platforms
Workflow automation tools
Advanced Google Sheets
Dashboarding and reporting tools (Google Looker)
Qualifications
Proven experience in business process management, operations, or legal operations
Strong understanding of professional‑services workflows (law firm or real‑estate experience preferred, but not required)
Demonstrated ability to design processes that people actually follow
Data‑driven mindset with comfort working with imperfect information
Experience managing change across multiple stakeholder groups
Excellent documentation, communication, and organizational skills
Strong technology skills
Lean / Six Sigma or similar continuous‑improvement experience is valued, but practical application matters more than certification
Competitive starting salary ranging from $90k‑$130k/year depending on experience
