About the Role: An international company is seeking a detail‑oriented and Bilingual (English/Spanish) Customer Service Coordinator to support order processing, customer communication, and coordination with internal teams and factories. This role requires strong organizational skills, excellent communication, and the ability to thrive in a fast‑paced environment. Key Responsibilities: Order Entry & Processing Receive and validate customer orders via email, phone, or fax. Verify order accuracy and issue confirmations. Coordinate with sales or management to resolve discrepancies. Enter orders into D365 and route them for managerial review. Release approved orders into the system. Prepare orders for warehouse fulfillment, including printing documents and highlighting special instructions. Manage backorders and forward orders; monitor inventory and process releases upon customer approval. Order Filing & Tracking Organize and file customer orders and related documents. Maintain clean and accurate filing systems, removing outdated materials as needed. Factory Order Coordination Enter and print factory orders for customer‑requested products. Prepare factory orders for review, adding required stamps, notes, and drawings. File and track factory orders appropriately. Communication with Factories Gather and record delivery information to ensure on‑time customer shipments. Assist in resolving shipment issues and coordinate with factories regarding delays or concerns. Customer Support for Mexico Address customer inquiries related to pricing, delivery, order placement, shipment discrepancies, and production requirements. Build and maintain strong customer relationships. Support sales representatives while they are traveling. Verify shipment accuracy for orders destined for Mexico. Additional Responsibilities Answer incoming phone calls as needed. Perform other duties as assigned by management. Qualifications: Associate’s degree or minimum 2 years of customer service experience. Proficiency in Microsoft Word and Excel; strong typing skills. Solid understanding of customer service practices and principles. Strong multitasking ability and reliable work ethic in a fast‑paced environment. Exceptional attention to detail and professional communication skills. Bilingual fluency in English and Spanish (reading, writing, and speaking).
