Position Overview
The College of Liberal Arts and Sciences’ Governance Administrative Assistant is responsible for supporting both governance functions and all undergraduate student service functions in the College. This position provides support to the Governance, Awards, and Orientation Coordinator by assisting with the coordination of faculty governance, curriculum management, and College awards for faculty and students. In addition, the role assists with front‑office services for students, faculty, and staff, answering questions on deadlines, policies, and other matters. The assistant handles sensitive situations with diplomacy, completes forms requiring student record verification, and collaborates with the Student Support Coordinator to update academic plans and liaise with the Registrar’s office.
This position reports to the College’s Governance, Awards, and Orientation Coordinator, with a dotted line report to the Student Support Coordinator.
Governance / Awards / Curriculum Support
30%
– Curriculum Workflow and Catalog: Coordinates workflow for program changes, new courses, and course de‑activations in the CIM and CAT systems, maintains inactive course list, initiates catalog workflows each fall, trains departmental users, and follows up to meet university deadlines.
10%
– Awards: Administers award competitions (faculty, staff, student), prepares calls and notifications, maintains records of awardees, and promotes winners on the College website.
20%
– Governance Committees: Assists with facilitation of major curricular and academic policy committees, schedules meetings, prepares agendas and minutes, and coordinates logistics.
Front‑Office Support
30%
– Front Office Reception: Provides phone, email, and walk‑in reception; addresses complex queries about procedures and regulations; determines when to respond directly or refer to other offices.
10%
– Access Data Entry: Updates student program plans in Enroll and Pay, processes admissions via Change of School in Perceptive Content, and assists with major/minor and certificate changes.
Required Qualifications
High School diploma or GED equivalency.
One year of general office, clerical, and/or administrative support experience.
One year of experience with Microsoft Office.
Preferred Qualifications
Demonstrated ability to quickly learn new technology and navigate complex workflow systems.
Strong verbal and written communication skills.
Demonstrated interpersonal skills and teamwork ability.
Strong organization and time‑management skills.
