Job Description The Document Production Workflow Coordinator is an experienced position delivering exceptional customer service to our clients by ensuring timely and accurate document production at an intermediate to advanced level. The role includes advanced assessment of documents, technical proofing, edits, conversions, formatting, creation, comparisons, and ensuring quality. The Coordinator may train team members and manage workflow coordination within a shift or site.

Intakes work requests from the client; including clarification of job instructions and negotiation of deadlines with the requester. Seeks alternate solutions to deadline requests as needed.

Prioritizes work requests across team and balances multiple projects based on experience and established guidelines, especially when working with escalated deadlines or issues.

Serves as a definitive resource for all questions relating to document production, proofreading, and quality assurance by the team.

Identifies and corrects errors in complex business documents to ensure quality of return product to requesters.

Detects formatting and compositional errors in documents; verifies citations are properly formatted.

Checks corrected proofs of documents against mark‑up for comparison and quality assurance.

Monitors team members’ adherence to formatting standards and utilizes generally accepted proofreading marks and reference resources.

Demonstrates proper professional expectations for team members when dealing with client requesters and work requests.

Develops and delivers on‑going training of new and existing team members.

Facilitates focus and coordination among shifts to meet or exceed client expectations for quality, timeliness, and service.

Trains junior staff members as needed.

Communicates with manager and/or client on job or deadline issues in a timely and professional manner.

Assists Lead, Supervisor, or Manager in executing administrative procedures or systems across impacted team members.

Ensures team adherence to company policies (conduct, attire, performance, attendance).

Works collaboratively, demonstrating open and flexible communication within and across team members.

Contributes to recommendations for individual development goals, training, or performance expectations.

Interacts with clients in person, over the phone or electronically.

Adheres to Williams Lea policies in addition to client site policies.

Uses equipment and supplies in a cost‑efficient manner.

Qualifications

Bachelor’s degree or equivalent years of experience.

Minimum of 3 years prior office experience in proofreading, word processing, or document production.

Advanced knowledge of Microsoft Office suite and technical troubleshooting of applicable software.

MS Office (Word, Excel, PowerPoint) certification desired.

Advanced knowledge of document production and/or proofreading procedures and/or generally accepted practices.

Extensive experience in business terminology, document production, and proofing formats; skill and efficiency in reference resources.

Attention to detail with emphasis on accuracy and quality; able to coordinate across the team and work on multiple projects simultaneously.

Excellent verbal and written communication and interpersonal skills.

Ability to work in a fast‑paced, deadline‑driven team environment.

Good judgment, organizational skills and sound decision‑making.

Ability to work independently and collaboratively as part of a team; self‑motivated to ensure own production.

Communicates with team members, Lead, Supervisor, Manager and/or Client on job or deadline issues.

Must meet deadlines and complete all projects in a timely manner.

Ability to handle sensitive and/or confidential documents and information.

Good problem‑solving skills and escalation awareness.

Must work well in a team environment.

Additional Information RRD’s current salary range for this role is $19–21.65 per hour. The salary range may be adjusted based on geographic location. Compensation may also include participation in a bonus, commission or incentive program.
