This position is responsible for providing excellent customer service, managing phone and in‑person communications, and handling all aspects of patient registration and scheduling to ensure efficient operations and high patient satisfaction.
Essential Functions / Responsibilities
Greets and directs all patients, visitors, and sales representatives to the appropriate department and/or staff member using AIDET.
Answers/transfers telephone calls in a clear, calm and professional manner, screening calls by urgency and routing them promptly to the appropriate party.
Performs a wide variety of communication and reception tasks while maintaining positive patient relations and promoting a favorable public image of Clarke County Hospital.
Receives and interviews patients (or their responsible individuals) to gather, verify, and enter demographic and insurance information into the electronic health record and insurance claim processing systems.
Schedules, preregisters, cancels, and reschedules tests and procedures for clinics and the hospital, coordinating scheduling to meet medical necessity, patient, department, and practitioner needs while maintaining the appointment schedule per department procedures.
Ensures patients or guardians understand and sign consent, insurance, and other required forms.
Receives, transcribes, schedules, and scans practitioner orders into the electronic record on a daily basis.
Verifies insurance benefits with insurance companies via phone, fax, or internet and documents verification in each patient record.
Educates patients/guarantors regarding insurance benefits and arranges payment of co‑pays, co‑insurance, and deductibles.
Assists with financial counseling on self‑pays, collects payments, issues receipts, and reconciles daily receivable activity.
Obtains patient information from other practitioner offices for scheduling and assigns time for exams, coordinating scheduled exams with mobile and contracted companies.
Educates outside practitioners and office staff on ordering outpatient services at CCH.
Compiles and distributes information regarding personal, insurance, and financial status and provides appropriate forms to billing and other departments.
Communicates and coordinates services with internal departments and internal and external practitioner office staff.
Assists in orientation/training of new employees.
Conducts audits of the scheduling system to ensure standards are met when requested.
Actively participates in developing plans to implement new procedures and processes, working collaboratively with other departments, practitioners, and contract services.
Reviews and maintains appropriate computer master files: patient master data, guarantor, physician, and insurance information, and correlates appropriate manuals.
Maintains all required records, reports, and statistics.
Demonstrates creative, critical thinking skills to solve problems and improve processes.
Qualifications
Previous experience with data entry, communication systems, and computers is preferred.
Previous general/medical office experience is preferred.
Previous experience with an electronic health record or medical office software is preferred.
Previous insurance knowledge is preferred.
Experience operating office equipment (computer, fax machine, printer/copier) and Windows‑based software.
High School Diploma or equivalent (preferred).
Strong customer service skills with a patient‑focused approach.
Attention to detail and accuracy.

Social skills and basic math abilities.
Basic critical‑thinking skills.
Strict confidentiality of patient information.
Ability to work effectively under stressful situations.

Work Schedule Full‑time, Monday‑Friday 10:30 am‑7:00 pm; rotating weekends and holidays.
