Position Summary

The Engineering Admin position supports the effective operation and organization of Saber Power’s engineering department. This role is responsible for managing team and departmental schedules, coordinating professional development programs, and maintaining key documentation such as org charts, resumes, and program records. The position plays an integral role in the development of engineering-related materials and provides general administrative support to engineering leadership. This position also serves as a secondary resource for document control activities in the event the primary Document Control Admin is absent. By maintaining structured processes and consistent communication across programs and administrative functions, the Engineering Admin helps drive efficiency, organization, and alignment within Saber’s engineering operations.

Duties And Responsibilities

Primary Responsibilities: Scheduling Develop/maintain team schedules Develop/maintain Department Schedule Maintain department org charts + department resumes Support/arrange Lunch & Learn activities as necessary Power BI support Updating Semantic Model on a weekly basis Export reports for Engineering management Process Data as required Graduate Rotation Program Coordinator Assist HR/Reception with arrangement of Graduate interviews Monitor Rotation Program schedule and “rotations” of all involved Develop and distribute rotation and mentorship surveys to track progress Mentorship Program Coordinator Develop discussion topics and coordinate monthly events Serve as primary contact for mentees (rotational engineers) Prepare and analyze mentor/mentee surveys Determine and manage mentorship pairings Maintain SharePoint site and program spreadsheets Support in creating misc. engineering documents for purposes such as marketing, checklists, standards, proposals, company resumes, job descriptions, etc. Assist with other administrative tasks as needed Backup Responsibilities: Engineering Document Control Sales Force Quote Management (Engineering Opportunities Only) Power BI Support (providing bi-weekly updates) Perform other job-related duties as requested by management.

Qualifications

Education & Experience Associate’s or Bachelor’s degree in Business Administration, Engineering Technology, or a related field (or equivalent work experience). 2–5 years of administrative experience, preferably within an engineering, construction, or technical environment. Experience supporting multi-discipline engineering teams or project management functions is preferred. Technical Skills Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Familiarity with project management or collaboration platforms such as SharePoint, Procore, Teams, or similar tools. Ability to manage databases, spreadsheets, and tracking tools with strong attention to detail. Basic understanding of engineering documentation, terminology, and revision control processes is a plus. Organizational & Administrative Skills Strong organizational skills with the ability to manage multiple priorities, schedules, and deadlines. Excellent attention to detail for maintaining accurate records, documentation, and program tracking. Ability to develop and maintain structured workflows, schedules, and departmental documentation. Strong time-management skills with the ability to work independently and proactively. Communication & Interpersonal Skills Excellent written and verbal communication skills for interacting with others. Professional and courteous demeanor. Ability to coordinate meetings, programs, and cross-department activities effectively. Skilled at communicating clearly and presenting information in a structured format. Other Desired Attributes Demonstrates initiative and problem-solving ability in a fast-paced engineering environment. Comfortable adapting to evolving departmental needs and taking on new responsibilities. Ability to handle confidential information with discretion. Team-oriented mindset with a focus on supporting engineering operations and continuous improvement.
