Position Scope The part‑time Administrative Coordinator plays a crucial operations‑focused role on our Client Services team, helping ensure seamless execution of patient‑facing programs, advisory boards, in‑person events, and client deliverables. This part‑time position (up to 20 hours per week) is ideal for a highly organized, detail‑oriented professional who thrives in a fast‑paced environment and is passionate about supporting work that elevates the patient voice.

Major Responsibilities Event & Meeting Logistics Support

Coordinate booking of meeting space, hotels, catering, audiovisual needs, and related logistics for in‑person events such as patient advisory boards, workshopsJoined and summits.

Arrange participant travel, including booking flights for patient participants.

Prepare, assemble, and ship event materials, including name tags, table tents, folders, signage, and supplies.

Project & Deliverable Support

Assist in developing conference briefing books for clients in preparation for industry and advocacy group meetings.

Maintain participant engagement and contracting templates, CVs, and documentation.

Coordinate closeout activities for client projects, ensuring all documentation, materials, and follow‑up items are completed.

Expense & PaymentManagement

Track, organize, and process expenses for internal team members who attend in‑person events.

Support the management of expense and payment logistics for patient and community participants.

General Administrative Support

Maintain organized internal files, trackers, and project documentation.

Support the Client Services team with day‑to‑day administrative needs.

Contribute to continuous improvement of administrative and operational processes.

Minimum Qualifications

2–4 years of administrative, operations, event planning, or client support experience; experience in healthcare, patient advocacy, or consulting preferred.

Exceptional organizational skills with a strong attention to detail.

Ability to manage multiple deadlines and shift quickly between tasks.

Strong written and verbal communication skills.

Comfort working with confidential or sensitive patient information.

Proficiency in Microsoft Office, online travel booking platforms, and project management tools.

Outstanding skills in Word and Power Point – experience in making slide decks and designing new slides.
